A Day in the Life

At Integrated Health Solutions (IHS), you’ll be part of a team of experienced professionals with deep knowledge of the healthcare value chain and broad expertise across multiple disciplines. You’ll collaborate with hospital management teams and payers to help drive complex transformational change, implement innovative growth strategies, streamline patient-focused care pathways, and optimize operations. Within IHS, the Turn-Key department—formed from the merger of our Design & Construction and Managed Equipment Services divisions—oversees the design, construction, equipment, and maintenance of highly complex hospital clinical departments equipped with cutting-edge medical technology.

We’re looking for a detail-oriented and proactive Administrative Assistant to support our daily operations. In this role, you will play a key part in ensuring the smooth execution of administrative tasks, contributing directly to the efficiency and success of our medical equipment services.

Responsibilities may include the following and other duties may be assigned:

  • Documentation Management: Organize and maintain company records, including contracts, invoices, and correspondence, and manage all activities using AssetMax and ARCA, a digital asset management system.
  • Scheduling: Coordinate meetings, appointments, and travel arrangements for team members and management.
  • Communication: Handle incoming and outgoing communications, ensuring timely and professional responses.
  • Inventory Support: Assist in tracking medical equipment supplies and inventory, and place orders as needed.
  • Data Entry: Accurately input and update information in company databases and systems.
  • Customer Service: Provide support to clients, colleagues, and partners by addressing inquiries and directing them to the appropriate departments.
  • Compliance: Ensure all administrative procedures align with company policies and industry regulations.

Required Knowledge and Experience:

  • High school diploma or equivalent required; additional qualifications in office administration are a plus.
  • Fluency in Italian is essential, along with certified English proficiency at C1 level.
  • Proficient in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Strong communication and interpersonal skills, with the ability to work effectively in diverse, multicultural environments.
  • Highly organized with strong multitasking abilities, attention to detail, and effective time management skills.

It is considered a plus if the candidate has knowledge of additional languages such as French, German, Arabic, or Dutch. Ideally, they will also bring at least one year of experience in an administrative role, preferably within the medical sector, a medical service department, or a similarly regulated environment. Familiarity with inventory management systems and an understanding of medical equipment categories are also valuable assets.
