Office Manager – Maternity Cover

Short Description of Role

We are looking for a service-minded and proactive Receptionist to cover a maternity leave. As the first point of contact for our guests, colleagues, and partners, you will play an important role in ensuring our office runs smoothly and that everyone feels welcome.

More About the Role

The Receptionist is central to the day-to-day running of our office. From welcoming visitors and coordinating with the office landlord to handling logistics such as taxis, catering, and parking, you will ensure that both small details and larger processes are managed efficiently. You will work closely with colleagues, vendors, and the office owner, supporting both practical needs and security procedures.

Key Responsibilities

  • Manage access cards and ensure security procedures are followed
  • Welcome guests and create a positive first impression
  • Organise changing rooms and coordinate with office landlord
  • Represent us in tenants’ meetings with landlord and office owner
  • Oversee taxi management, parking, and mail handling
  • Plan meeting rooms and catering requirements
  • Handle reception emails and phone calls
  • Coordinate craftsmen, deliveries, and flower arrangements
  • Implement evacuation procedures and other security measures
  • Set up purchase orders and manage vendor creation

Who We Are Looking For

You are service-oriented, structured, and thrive in a role with many different tasks. You are comfortable juggling both planned responsibilities and ad-hoc requests while keeping a friendly and professional attitude. Ideally, you have:

  • Experience from a receptionist, front desk, or office support role
  • Strong organisational skills and attention to detail
  • Good communication skills in English (and Danish, if relevant)
  • A proactive mindset and the ability to work independently
  • Confidence in handling digital tools and office systems
