What You'll Do

Performs day-to-day administration of benefits according to plan documents and Federal and State regulations that includes data entry, communication and distribution of benefits information to employees, and acts as a liaison between employees and vendors as needed. Performs payroll/vendor audits to ensure accuracy of employee deductions and vendor billing. Assists with all aspects of employee benefits including annual events, such as Benefit Bonanza, Open Enrollment, and requirements of the Patient Protection and Affordable Care Act. Performs day-to-day administration of the Family and Medical Leave Act (FMLA) and other leaves of absence programs, under the guidance of the Benefits Coordinator and the Chief Human Resources Officer in accordance with Federal and State regulation, and Freeman Health System Policies and procedures. Monitors, updates, and leave participants of their current status and coordinates with management on a daily basis. Assists in the development and presentation of FMLA information and training programs for employees and management. Assists the Benefits Coordinator and other staff with assignments as needed.

Schedule: Full Time (40hrs/week)

  • We provide services in Compensation, Recruitment, Timekeeping, Benefits, Employee Relations, Employee Engagement, Compliance, and Workers Compensation

  • Experience desirable schedules, Monday-Friday with no weekends or holidays

Responsibilities

  • Meets all payroll entry deadlines by accurately processing required benefit enrollment events, requesting appropriate documentation for verification purposes.

  • Performs the day-to-day administration of FMLA, ensuring accuracy of reported data, timely responses within established guidelines, and monitoring of FMLA participants under the direction of the Benefits Coordinator.

  • Prepares benefit and human resource related reports as requested by the Benefits Coordinator and other Human Resources staff.

  • Tracks the absence and return to work of FMLA participants through reports and direct contact with participants.

  • Works with management of employees on FMLA as needed and within guidelines.

  • Prepares audits and reports to ensure the accuracy of the FMLA process.

  • Audits benefits plans and related employee deductions bi-weekly, monthly, and/or quarterly as assigned. Ensures accuracy of payroll data against the vendor census files, making adjustments as necessary. Communicates with employee and vendor related to errors/corrections as assigned.

  • Functions as the main point of contact for the Benefits Line. Fields calls including checking and following up with voicemails in a timely manner. Represents Human Resources in a positive and professional manner.

  • Assists with COBRA compliance by reviewing reports and processing as needed.

  • Assists the Benefits Coordinator with vendor reports and audits as needed.

  • Assists with other Human Resources related data entry and projects as assigned.

Qualifications

  • Proficiency in computer skills with Microsoft Office Products, including Word, Outlook, and Excel.

  • Excellent written and spoken communication skills.

  • Excellent time management skills with a proven ability to meet deadlines.

  • Ability to accurately enter data.

  • Ability to accurately proofread reports, etc., for extreme accuracy.

  • Ability to prioritize and multitask.

  • Basic accounting principles to perform FMLA audits, compile hours, and calculate remaining eligible FMLA hours.

  • Experience interacting with customers and resolves customer complaints in a friendly and service-oriented manner.

  • General knowledge of compensation/benefits administration and COBRA.

  • Knowledge of current federal, state and local laws regarding benefits.

  • Knowledge of current federal, state and local laws regarding FMLA.


Preferred Qualifications

  • Previous experience with Employee Benefits, Human Resources, insurance, or similar experience.

  • Education or experience with Microsoft Office products including Microsoft Word and Excel.

  • Experience in information systems including Workday.

  • PHR certification

  • Bachelor's degree preferred.

Education

  • High School Diploma required.
