What this job involves - We are seeking a highly skilled and detail-oriented HVAC Refrigerant Specialist/CMMS Data Analyst to join our team. As a Refrigerant Specialist/CMMS Data Analyst, you will oversee refrigerant data management and HVAC operations and maintenance. This includes coordinating with HVAC vendors, identifying frequently leaking equipment, and processing asset, preventive maintenance, and lifecycle data for CMMS integration. managing the service records and asset database of the refrigerant and PM programs. Your expertise and attention to data accuracy  will contribute to our organization's energy efficiency and sustainability goals.

In addition to managing HVAC refrigerant services, including service reporting, recordkeeping, and vendor coordination, this role is responsible for HVAC data management and asset management. Key duties include data input and analysis, managing equipment specifications, and maintaining the CMMS database by handling all adds, changes, and deletions (e.g., using Corrigo loader files).

Key Responsibilities:

Tracking and Management of Refrigerant Data:

  • Work with HVAC PM and R&M Teams to maintain accurate records of refrigerant usage, leak inspections, service events, and equipment details.
  • Regularly update and manage refrigerant quantities in the global refrigerant management system.
  • Coordinate with HVAC vendors to obtain relevant refrigerant service and equipment  data to ensure accurate reporting.

HVAC Vendor Coordination:

  • Collaborate with HVAC vendors to ensure timely and accurate reporting of refrigerant data.
  • Establish and maintain effective communication channels with vendors for efficient data exchange.
  • Provide necessary guidance and support to vendors for proper refrigerant data reporting.

Refrigerant Inventory Management:

  • Oversee the inventory of refrigerants, including documenting quantities, locations, and expiration dates.
  • Coordinate with procurement and maintenance teams to ensure appropriate stock levels and disposal of expired refrigerants.
  • Implement proper storage and handling practices to comply with regulations and minimize waste.
  • Perform regular cross-platform QA/QC checks on HVAC Inventory, CMMS, and Refrigerant Tracking Systems.
  • Collaborate with Sustainability, Project, and Portfolio Optimization Teams to capture the movement of inventory, maintain accuracy of database, records, and reporting.

Root Cause Analysis of High Leaking Equipment:

  • Identify equipment with high refrigerant leak rates and initiate root cause analysis.
  • Work collaboratively with maintenance teams to investigate and address root causes of leaks.
  • Develop preventive measures to minimize future leaks and optimize equipment performance.

HVAC Refrigerant Data Coordination:

  • Partner closely with the Energy and Sustainability team to integrate refrigerant data into overall energy efficiency strategies.
  • Provide necessary data and insights to support sustainability initiatives and achieve energy reduction objectives.

Refrigerant Tracking System Management:

  • Administer and maintain the refrigerant tracking system, ensuring data accuracy and system functionality.
  • Stay up-to-date with industry trends and regulations related to refrigerant tracking and management.

Leak Event Reviews:

  • Conduct comprehensive reviews of refrigerant leak events, documenting findings, and proposing corrective actions.
  • Provide recommendations for process improvements to minimize future leak events.

Monthly Refrigerant Program Reports:

  • Prepare and distribute monthly reports on refrigerant consumption, leak events, and program performance metrics.
  • Analyze data trends and identify opportunities for optimization and cost savings within the refrigerant program.

Coordination and Management of the Refrigerant Service Event and Leak Inspection Tracker:

  • Monitor and help facilitate Work Order completion around Leak-related service events,  record and report repair recommendations,  component replacements, and/or equipment upgrades.
  • Communicate with stakeholders to ensure seamless execution of refrigerant replacement projects.

CMMS Data Management:

  • Responsible for collecting and processing comprehensive data related to our assets, including information on preventive maintenance and asset lifecycle management.
  • Prepare and process data for accurate uploading into CMMS.
  • Manage the service records and asset database for both the refrigerant and preventive maintenance programs.

Qualifications and Skills:

  • Bachelor's degree or related field preferred.
  • Solid understanding of HVAC systems, refrigerants, and associated regulations 
  • Experience in refrigerant management, including tracking, reporting, regulatory compliance, and inventory control.
  • Strong analytical and problem-solving skills to conduct root cause analysis and recommend preventive measures.
  • Excellent communication and interpersonal skills for effective coordination with HVAC vendors, cross-functional teams, and external stakeholders.
  • Detail-oriented with exceptional organizational and time management abilities.
  • Ability to work independently and prioritize tasks in a fast-paced environment.

Estimated total compensation for this position:

70,900.00 – 100,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
