Job Description Summary:

The Academic Program Specialist will be responsible for a wide range of tasks that support the day-to-day administration of the Department of Biostatistics & Data Science graduate programs. This individual will serve as a primary contact point for potential applicants and students, working closely with a team of program directors and academic program support staff to support program faculty and students.

They will also serve as a departmental liaison with the KUMC Offices of Graduate Studies, Registrar, Student Financial Accounting, Admissions, International Programs, and Teaching and Learning Technologies. The role will involve overseeing the student application process, admission, onboarding, progression of degree acquisition, and graduation activities, and maintaining records of these activities. The Academic Program Specialist will also be responsible for attending to all daily administrative activities required by Department graduate programs, including staff meetings, committee meetings, advisor training, and professional development. They will compile and summarize graduate program data for annual Department reports and provide backup administrative support where needed.

This position reports to the Chair of the Department of Biostatistics & Data Science and graduate program leadership. The role requires excellent written and oral communication skills, excellent organizational skills, excellent interpersonal skills, and working knowledge of various computer software programs. The position also demands a demonstrated ability to work independently and collaboratively at the University of Kansas Medical Center campus during standard business hours.

Job Description:

Job Duties Outlined:

  • Student Recruitment, Admission, and Progression to Degree

    • Answer phone, email, and web-based inquiries

    • Arrange and host prospective student campus visits

    • Make recruitment presentations as needed

    • Maintain prospect files

    • Arrange communication among prospects and current students, faculty, and alumni

    • Draft and coordinate production of program brochures and materials

    • Support Admissions Committees with applicant data

    • Generate and send all student correspondence

    • Design and participate in new student orientation

    • Oversee requirements for student participation in Journal Club, Seminar Series, and other Departmental events

    • Respond to data and survey requests

    • Assist in the development and implementation of student surveys

  • Student Advising Support

    • Create and maintain all student files

    • Provide support for student advising meetings

    • Coordinate student exams, including technology and classroom reservations and submission of required documentation to Graduate Studies

  • Course Management

    • Assist with timetable management

    • Assist faculty as needed with syllabus formatting or other needs for course development and delivery

    • Maintain accurate course information in the Catalog CIM system

  • Update the student handbook and provide relevant and updated information for the program website as needed

  • Alumni Relations

    • Assist in tracking alumni employment and contact information

    • Respond to alumni requests for information

    • Engage alumni with prospective and current students

    • Assist in the development and implementation of an alumni survey

Required Qualifications

Education: Bachelor’s degree in education, business administration, project management. Relevant experience may be substituted for education on a year-for-year basis

Work Experience: At least one year of relevant work experience. Experience with Microsoft Suite. Customer service experience. Experience working as part of a team

Preferred Qualifications

Education: Master’s degree in education, communications, project management, or related field

Work Experience: At least two years of relevant work experience. Experience working in higher education. Experience with student recruitment. Experience working with learning management systems (e.g., Blackboard, Canvas). Experience preparing educational grants. Experience with REDCap.

Skills:

  • Effective written and oral communication skills.

  • Organizational skills.

  • Highly literate in computer software programs (e.g., Microsoft Word, Excel, PowerPoint) related to preparing documents, spreadsheets, and database functioning.

  • Ability to handle multiple concurrent projects and maintain accurate recordkeeping systems.

  • Ability to anticipate and respond to emergent and routine needs of the office

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
