Job Details

Under the direction of the Supervisor / Lead - Operations Shared Services, this role is responsible for contacting medical sites within the assigned country or countries to coordinate Depot-to-Site and Site-to-Depot distributions via telephone and / or email, ensuring approved dates, times, and contacts are confirmed. The role delivers a high level of customer service, issue resolution, and internal communication, while maintaining organization and control of assigned tasks and demonstrating a commitment to continuous improvement and customer satisfaction. The Representative II will participate in the design of projects and workflows, support updates to existing processes, assist with peer training, and maintain communication with key stakeholders.


Responsibilities:

  • All contact and coordination activities under Shared Services responsibility are completed in an appropriate, timely and cost-effective manner.
  • Make the activity records correctly, in the control tool assigned for the function, generating efficient communication flows, which help to guarantee the success of the function for the company.
  • Ensure the timely filing and update of the activities under its responsibility, to allow the generation of performance indicators for the team.
  • To edit and maintain shipments (domestic) at TMS or the applicable system according to process’ instructions
  • To use and maintain the available technical tools (TMS, Share Point and others).
  • To keep proper communication with national and international offices stations of World Courier, Customers and Third Parties as needed in a kindly and timely manner.
  • Make suggestions to improve processes, efficiency, and consistency to develop the performance of the department.
  • Perform any other duties the employee has been trained for

Education:

  • University Degree in foreign trade, business administration, logistics, industrial engineering or related careers from an accredited university.

Work Experience:

  • Minimum 2 years related and progressive experience.
  • English: intermedium written and oral skills

Skills and Knowledge:

  • Ability to work quickly and accurately under time and volume constraints as well as under pressure.
  • Strong interpersonal and communication skills.
  • Capable of generating customer confidence.
  • Strong organizational skills, attention to detail and teamwork
  • Be able to take initiatives and responsibilities.
  • Good computer skills, knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
  • Work schedule flexibility
