Payroll Tax Manager is in charge of overseeing proper set up, implementation, review, reconciling and reporting to ensure the company compliance of the Payroll tax function for multi-state and multinational transactions.

Job Functions

  • Oversee and ensure compliance of the Payroll Tax function for North America, Latin America and Europe

  • Provide solutions to Payroll Tax irregularities

  • Maintain standardization of payroll tax data in alignment with Global Procedures

  • Maintain payroll system updates and advice on new system applications or improvements required to meet tax and contribution compliance requirements.

Job Responsibilities:

The Payroll Manager position covers the following responsibilities, but not limited to:

  • Set up new tax and required Payroll registrations in local, state and federal or new countries. Coordinate with HR and Legal coverage for workers compensation or Travelers Insurance as applicable.

  • Offers input into an organization’s payroll tax policies standards.

  • Manage and support the corporation’s global payroll tax compliance, in adherence with federal, state, and local laws, ensuring the inclusion of best practices

  • Handling payroll vendors associated with the filing and preparation of payroll tax returns

  • Provides timely feedback to Manager and stakeholders, ensuring timely issue escalation

  • Ensures accurate and timely filing of weekly, semi-monthly, monthly, quarterly, and annual return of taxes withheld for all taxing authorities

  • Balances and files annual reconciliation withholding returns with local, state, and federal authorities for W-2 purposes or equivalent in the countries we operate.

  • Assists with the issuance and distribution of all W-2 forms or equivalent tax forms in foreign countries.

  • Complete the year end tax reconciliation of the W-2 information or equivalent and address discrepancies accordingly.

  • Performs daily, weekly audits to validate the accuracy of the tax set up based on resident and work locations

  • Perform tax amendments as needed

  • Maintain tax profiles for equity compensation platforms.

  • Manage the equity tax process

  • Responsible for daily monitoring of agency notices and addressing or coordinating actions required.

  • Maintain and reconcile State Unemployment Insurance (SUI) rates in appropriate systems

  • Maintain current knowledge of payroll tax laws.

  • Reconcile and analyze general ledger transactions and prepare journal entries for payroll related accounts

  • Evaluate and coordinate with Global Head of Tax issues that may impact corporate taxes derived from the Payroll tax for example business nexus (US States) or Permanent Establishment (Payment in foreign countries)

  • Work together with Compensations and Head of Global Tax to organize and guarantee proper workings of stock operations and other non-cash transactions

  • Plan tax in anticipation of future filings

  • Carry out research on ramification of tax laws and give advice to clients on tax related matters.

Other Related Duties:

  • Participate in projects as needed.

  • Provide adhoc reporting related to the Payroll Tax funcion.

  • Provide tax analysis impact as needed.

Minimum Education and Experience:

  • 5+ years of finance experience or a related analytical field.

  • Tax, Employment Legal and / or Payroll experience with specific exposure to countries in North America, Latin America and Europe.

  • Excellent knowledge of international payroll, employment tax and social security legislation

  • Strong knowledge about cross border workers, tax treaties and other international employment legislation

  • Experience of SOX compliance and responsibilities-Strong excel and reporting skills

  • Advanced analytical skills and the ability to dive deep into details, while also seeing and understanding the big picture

  • Experience with equity tax management-Multi-state and multinational tax knowledge and experience

Knowledge, Skills and Abilities:

  • Strong analytical skills, including experience analyzing data and making recommendations based on analysis

  • Excellent organizational skills, communication skills, and attention to detail-Strong organizational, planning and project management skills; ability to prioritize tasks for both self and team to meet business requirements and deadlines

  • Demonstrate strong problem solving, reconciliation and analytical skills-Well-developed in Google Suite, especially Google Sheets

  • Very strong skills in Microsoft Office applications, especially MS Word, MS Excel, and MS Access-Detailed oriented with the ability to multitask; excellent verbal & written communication and organizational skills
