Position Summary

The Operations & Facilities Management Department at Washington University School of Medicine is committed to delivering a comprehensive range of services to support the medical campus.

We oversee maintenance and operations for 65 buildings, covering more than 10.1 million gross square feet of space. This includes the 11-story, 609,000-square-foot neuroscience research building, which houses one of the world’s highest concentrations of neuroscientists. Our responsibilities include operational and administrative support, strategic planning, and project management.

Furthermore, as the School of Medicine continues to expand its presence both on and off campus in areas such as teaching, clinical care, and research, our team remains instrumental in ensuring the seamless delivery of clinical care, advancing research initiatives, and facilitating educational endeavors.

Greets and provides accurate information while meetings the needs of the customers of the department. First and main point of contact for all customers visiting and/or contacting the department.

Job Description

Primary Duties & Responsibilities

  • Receives, records and distributes verbal and written work orders from departments to service crews for Facilities Engineering, Custodial and parking issues, prioritized based on urgency. Coordinates with other facilities units to ensure follow-up and completion of work orders assigned. Responsible for distribution of planned, limited and emergency outagers.
  • Provides customer service to walk-up customers as well as by phone and online work order submittal. May provide support to students and guests as it relates to front desk activities within Olin Residence Hall.
  • Maintains call quality by providing customers with accurate information in a timely and professional manner. Provides tier-one customer service follow-up and ensures completion and close out of escalated service issues. 
  • Issues University parking permits and U-Passes.
  • Distributes university-issued badges for Access Control.
  • Responsible for cash handling, including payment intake, providing change, preparation of receipt vouchers, daily balancing and cash reconciliation.
  • Provides data entry within multiple databases and systems supporting the Facilities Management department. This may include work order supplies, updating of equipment/inventory as well as customer and account charges.
  • Maintains a strong working knowledge of software, computer and telephone systems as well as facilities terminology in assigning and/or dispatching work.
  • Performs other duties as assigned and in support of the Operations & Facilities Management Department.

​​Preferred Qualifications

  • Bachelor’s degree in field related to activities in facilities management.
  • The candidate must possess an aptitude for patience, professionalism, tactfulness and empathy. 
  • Ability to assess the specific needs of the customer and be able to provide proper communication of escalation issues as well as conflict resolution. 
  • Ability to anticipate issues, think proactively and use critical thinking in eliciting and interacting with others.
  • Knowledgeable of computer, phone lines, hand held radios, computer software, work management systems, parking and ticketing systems and multi-phone line systems.
  • Customer service oriented with the ability to listen and speak clearly.
  • Demonstrate professionalism, respect for colleagues and stakeholders, unwavering integrity in all actions, dedicated pursuit of excellence, and a track record of consistent dedication to achieving organizational goals.

Required Qualifications

  • High school diploma or equivalent high school certification.
  • One year of relevant work experience.

G05-H

Salary Range

$17.03 - $24.61 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
