POSITION SUMMARY

General administrative support for Sales team, assisting with completion and signature of all necessary documents and paperwork with customers, ensuring that all sales paperwork is complete and correctly signed. Follow up with Customer as well as members of the sales team and New Owner Administration teams where needed to ensure sales folders are complete and accurate. Assist with any other sales related administrative duties to help the work of the sales team such as schedules, holiday requests and reports and sales collateral and new owner albums.

CRITICAL TASKS

RESPONSABILITIES

  • Administrative support of Sales Team for contract preparations and subsequent signing with customers

  • Review sales documents with customers

  • Comply with quality assurance expectations and standards

  • Liaise with Sales leadership team and sales executives regarding the contract paperwork

  • Obtain additional information required for preparation of contracts and completion of applications and forms

  • Review sales documents prior to final closing to ensure all information is complete and accurate

  • Consolidate Sales which includes, but is not limited to, the completion of all relevant Sales documentation

Job Specific Tasks:  

Club Rules Document Review:  

• Review full contracting paperwork and obtain missing information

• Ensure signatures on all related documents are correctly placed

Sales Closing Administration:

• Be the first point of contact for customers with questions and concerns

• Thoroughly review loan applications, contracts and financial documents with the customer and ensure proper completion

Post-Closing Activities:

• Monitor contract progress

• Respond to and monitor the resolution of customer and owner inquiries in a timely manner with the available resources

Assisting Sales Team:

• Assist with daily Point of Sale follow up, and outstanding signatures, documents and payments

• Assist with administrative tasks such as, but not limited to, recruitment, training, appraisal process, reports and other documents

Administration:

• Prepare weekly reports for the Sales meetings

• Track and announce period budgets and targets through commercial plan

• Ensure there is sufficient sales collateral for sales presentations

• Print and organize price lists

• Prepare monthly Sales Executive schedules

• Review time worked, leaves and absences for Sales team

• Keep notice boards up to date with relevant information

• Attend sales meetings, take notes, and publish minutes
