Job Summary:

The Women's Health Education Coordinator has the primary responsibilities of coordinating and scheduling the activities and initiatives necessary to ensure the timely, efficient and accurate provision of services related to Women's Health strategic programs including perinatal education, services and quality, and all necessary activities and patients that accompany perinatal education classes across the WellStar Health System. The Coordinator generates and distributes weekly, monthly quarterly reports to the manager of Women's Health Education, reflecting utilization for those time periods and prepares miscellaneous reports as may be required for the health system. This team member of the WellStar Health System promotes service excellence by developing and maintaining positive relationships with customers, other team members and the medical staff, ensuring the highest quality for care by performing their responsibilities according to the highest professional standard.
The Women's Health Education Coordinator Position reports directly to the Manager of Women's Health Education. Key responsibilities of the role include program maintenance including report preparations, reporting on program progress and outcomes, regular system emails for completion of clinical education, ordering and coordination of materials both within the inpatient and outpatient setting, and tracking of monthly expenses. The Coordinator provides departmental support for in-person, e-classes, interactive perinatal classes including the scheduling of system perinatal classes, tracking of class registrations, ensuring completion of e-classes, and monitoring of registration payments through 956-STAR. The Coordinator collaborates with Marketing on all collateral/marketing pieces and maintains and enhances key relationships systemwide. The Coordinator will engage in performance improvement activities in conjunction with the Service Line leaders and provide support for all Women's initiatives and strategic projects across the system.

Core Responsibilities and Essential Functions:

Program Maintenance
- Participate in, provides operations support, and serves to deployment and ongoing sustainment of programs.
- Regular coordination and scheduling of all Womens Health education offerings for the WellStar Health System, resolving scheduling issues and maintaining the e-Source calendar to enhance the education offering to the community.
- Sustain a working understanding of current TJC standards.
- Support Womens Services Leadership in efforts to meet and sustain the regulatory compliance efforts as related to womens health and the expectations to meet the standards and best practices of the Womens Health program.
- Assist in the assessment of Womens Health programmatic needs for women, maternal patients, and their families/support systems.
- Identify best practice resources appropriate for women, care givers, maternal patients, and their families/support systems. Departmental Support
- Assist in creation of orientation manual and provide department orientation for all new Womens Health Education team members for each hospital and classroom location.
- Coordination, maintenance and resolution of classroom, closet, site, laptop, handout, and other related issues.
- Coordination, purchase, distribution, and inventory of departmental educational materials throughout the Womens Health Service Line.
- Reviews financial statements monthly to ensure accurate ordering and financial tracking of supplies and evaluates opportunities for cost savings and efficiencies.
- Collection of departmental financial, patient evaluation and participation data.
- Provides coordination, direction and guidance to department volunteers and assistants on office tasks
- Submission of programmatic expense reports and check requests to Accounting.
- Supports meeting minute taking for routine Womens Health Service Line Operations meetings.
- Regular email updates and/or routine monthly newsletter communications to key internal and external stakeholders.
- Assists with payroll processing as needed.
- Collects data for reporting purposes
- Prepares written updates and support for Womens Health Service Line initiatives
- Assists with annual report production. Networking and Advocacy
- Provide patient satisfaction follow-up for patients served and their families/support systems and implement a plan in collaboration with manager of Womens Health for timely and appropriate resolution of concerns for women and maternal patients/families.
- Maintain appropriate and vetted referral resource information to provide to women and maternal patients and their families/support systems as appropriate.
- Collaboration with the Womens Health Service Line, external and internal departments such as marketing for all program materials.
- Ongoing communication with each WellStar Womens Health Service Line location to provide any necessary supplies in relation to Womens Health Education programs.
- Ongoing support for committees and councils as related to Womens Health Service Line needs.

Required Minimum Education:

High school diploma Required and
Bachelor's Degree unless in position before 11/2020.

    Required Minimum Experience:

    Minimum 3 years clerical or related experience in a healthcare organization or medical office setting. Required and
    Computer/data entry experience. Required

    Required Minimum Skills:

    Ability to communicate with various members of the healthcare team.
    Ability to use Excel, Word and have basic computer operational knowledge.
    Epic experience preferred.
