ABOUT THE ROLE

Property Services team has the responsibility to operate, maintain and enhance the buildings owned by RMIT University, oversee construction projects, and ensure the provision of physical facilities services. Property Services consists of the following business units:  

Event & facilities support  

Campus Planning & Services  

• Business Administration 

The position will support Property Services Hanoi team in planning work on space and campus development. This position will also contribute to the provision of organized and reliable services to Facilities Management team. 

Reports to:  Manager, Operations (North) 

Key Accountabilities:

  • Coordinate with stakeholders and FM team to assess space requirements, provide input on layouts and designs to align with RMIT standards. 
  • Coordinate with Asset Utilization team to register maintainable assets with PPM and provide handover documents for projects. 
  • Operate Request Tracking system of Property Services Hanoi, provide initial support/response to user and allocate request to relevant team.  
  • Manage core services such as cleaning, security and external vendors (F&B services, EVN, vending machines).   
  • Coordinate with Accounting team in the physical stoke-take and arrange transfer/write-off/disposal as required. 
  • Arrange logistic support for Property Services such as travels/trainings/events/ office supplies. 
  • Gather information to provide support on compliance reports and submission for Facilities team.  
  • Provide annual budget control & forecast for Property Services Hanoi & Danang Operating and capital expenses. 
  • Coordinate with management board of the landlord on daily basis to ensure well-functioning BAU activities (facilities, defects, incidents,). 
  • Master the lease agreement of Hanoi & Danang campus, provide required reports and support for lease renewal or concerns. 
  • Perform other tasks as required by Manager, Operations (North) 

Key Selection Criteria 

  • A bachelor’s degree relevant to the business administration or relevant field 
  • At least 3 years of working experience with demonstrated experience in relevant fields  
  • A proactive approach to planning, coordination, and delivery of work.  
  • Organised with good time management skills  
  • High level attention to detail  
  • Strong skills in coordination, liaison, and communication. 
  • Demonstrated skills to work in a team 
  • To be eligible for this position you must be a Vietnamese citizen. Applications received from non-Vietnamese candidates will not be considered.

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.O (or equivalent Cambridge English Skills Test 160).
