Job Title: Office Supervisor
Job Summary: This Full Time opening is for a Clinical Supervisor for our Internal Medicine office in Zephyrhills. Will be responsible for managing the day-to-day operations of practice. Minimum of 5 years previous experience desired.

Essential Functions of the Position:
• Manages staff
o Completes performance reviews
o Coaches and counsel staff
o Investigate and gather information related to issues or concerns prior to employee reprimand or staffing changes
o Maintains and monitors the attendance of staff
o Coordinates staffing needs and schedules to include PTO requests and coverage
o Interview candidates for open positions and extend offers as approved by the Administration
o Completes new hire and termination process
o Makes recommendations to Administration related to staffing needs
o Organizes and directs monthly staff meeting
o Monitors uniform and ID badge compliance
o Addresses and coordinates training needs of the department
• Facilitates office communication
o Attends meetings as required
o Notifies and educates employees and providers of new policies and procedures
o Provides flow of information between providers, management, and staff
o Handles and resolves patient complaints
o Requests patient discharge letters and completes discharge process
o Maintains call schedule and notifies Admin Assistant and/or answering service of any changes
• Manages workflow within the department
o Manages and maintains provider schedule(s)
o Monitors employee and provider tasks
o Implements new work routines or changes
o Investigates and resolve clinical tasks promptly to maintain optimal efficiency in the department
o Addresses software, hardware, phone, and Quick Q system issues and creates IT tickets if unable to resolve, and monitors ticket statuses daily
o Oversees office inventory and generates purchase requisitions
o Coordinates and oversees outside chart audits including security access form to IT
o Schedules legal conferences and/or depositions
• Manages facility
o Addresses facility issues and creates work tickets for Maintenance
o Ensures the office is clean and well maintained
o Ensures the office is safe by identifying and eliminating safety hazards
o Reports incidents, accidents, or injuries to Administration by completion and submission of proper form(s)
• Manages payroll
o Reviews and updates employee attendance through electronic time system
o Enters miscellaneous time (i.e. PTO, CME, jury duty, and bereavement time) as needed if available and approved
o Collects and submits time sheets for salaried employees
o Maintains daily sign in sheet for hourly staff
o Completes payroll change forms
