Job Description

Reporting to the Director of Strategic Projects, the Project Coordinator plays a vital role in supporting the successful execution of our programs. You will work closely with Technical Project Managers, Software Solution Consultants, and Program Management teams to ensure project controls are in place and documentation is maintained. Key responsibilities include organizing project artifacts, documenting meeting minutes, processing project collateral, and coordinating project set-up activities.
 

You will assist Project Managers in developing and issuing schedules and budgets to finance and PMO staff while adhering to Motorola’s document management protocols. This role involves reviewing project contracts to extract key information related to scope management, credentialing, insurance requirements, and confidentiality obligations. You will manage multiple concurrent tasks, ensuring that deadlines are met without the need for constant reminders, particularly regarding weekly and monthly reporting.
 

Your role also includes maintaining project management tools such as PlanView, Kissflow, the work management system, and other databases that track milestones, workflows, and financial performance. You will ensure the upkeep of critical project controls, including the Project Action Log, Risk Register, and Change Control Log. Additionally, you will manage workflows related to Requests for Information, Project Submittals, Task Orders, and Change Control Requests, ensuring compliance with timelines.
 

You will serve as a communication liaison between Motorola’s internal departments, project teams, and customer teams, helping to plan and prioritize complex activities in a dynamic environment. This includes managing calendar appointments, coordinating meetings, and handling event logistics such as catering and on-site resources. You will also create presentations and spreadsheets to support decision-making processes and assist Project Managers and the Program Director in overseeing projects from start to finish.

What we are looking for: 

  • Proficiency using Microsoft Office Suite applications, including Excel, Teams, and Word as well as Google Workspace tools including Docs, Sheets, Sites, and Slides.

  • Handle ambiguity & work independently to drive tasks to completion with minimal direction.

  • Prior experience with or understanding of project earned value management practices, including analysis of cost and schedule variances, time-phased budgeting, development of bottoms-up estimates to complete, and analysis of estimates of completion to ensure successful management during all project stages.

  • Familiarity with project support and control methodologies, preferably in engineering or software development/deployment. 

  • Understanding of PMI project methodology and program/project delivery best practices. 

  • Ability to view issues from multiple viewpoints to communicate with team members and resolve or avoid conflicts inherent in communication.

  • Present a superior level of professionalism and discretion in all interactions, both internally and externally to the organization.

Additional Qualifications:

  • Preferred undergraduate degree in project management, software engineering, product management, or a related field.

  • Preferred project management qualifications such as CAPM, Project+, or PMP 

  • 1-3 years experience in software or construction project management/project support

  • Must be able to read, write, and clearly speak and understand English

  • Must be able to obtain background clearance as required by government customer

This position is subject to working in high-security areas governed by the US Department of Justice's "Criminal Justice Information Services (CJIS) Security Policy" and therefore requires successfully passing a more stringent fingerprint background check administered by Motorola Solutions Inc. customers.

Note: This position is a remote position and candidates can be located anywhere in the US. However, due to travel and the working schedule, it is extremely preferred that candidates reside in the Western United States (California preferred).

Salary Range: $110,000 - $115,000 per year.
