Role purpose

The key purpose of the Pop Up Shop Leasing Executive is to collaborate with Centre Management and Leasing teams to identify and source retailers for vacant inline shops. The Pop Up Shop Leasing Executive is required to place prospective tenants in locations that align with the centres precinct plans, strategy, and action plan (VSA), which are supported by the required stakeholders. This role is part of the wider Mall Leasing team and the broader Vicinity Centres Leasing team. The Pop Up Shop Leasing Executive is responsible for working collaboratively with Vicinity’s centre-based stakeholders to deliver the annual Mall Leasing budget and enhance the centre’s overall retail experience. This role ensures tenants maximise presentation, product suitability, and rental opportunity compared to current site budgets of relevant inline stores. The Pop Up Shop Leasing Executive proactively identifies and pursues new sales opportunities through activities such as cold calling, networking, and lead generation by visiting competitive shopping centres, business precincts, and expos.

Key Accountabilities


Pop Up Shop Budgeted Revenue

  • Use business acumen to demonstrate a sound understanding of retail, business landscape and market dynamics.
  • Build and execute the Brand Space strategy plans that aligned to each centres VSA Plan.
  • Manage pipeline to drive revenue growth of new business, national and international brands and existing retailers.
  • Minimise inline retail stores remaining in an unoccupied status.
  • Maximise rent against the budgeted sites for each inline store.
  • Provide accurate month by month forecasting.


Operational Management

  • Conduct site inspections for day 1 of trade for all new tenants.
  • Maintain compliance of the store fitouts and signage to the centre’s expectations.
  • Ensure the right tenant is in the right location and compliance to the centre’s VSA.


Administration Management

  • Manage end-to-end processes for:
    1.    Salesforce, CRM and pipeline management;
    2.    Accounts set up correctly – ABN and Trustee checks;
    3.    Sign booking agreements; 
    4.    Compliant public liability; and
    5.    Waivers received and uploaded where required.
  • Debt management – ensure payment terms are met, and aged debt process is followed.
  • Percentage rent retailers are followed up and billed correctly each month.
  • Minimise risk for the business.


Relationship Management

  • Demonstrate the Vicinity values and behaviours when collaborating with cross-functional teams within the organisation to achieve the best outcomes.
  • Participate and provide Pop Up Shop Leasing updates in the centre’s Asset Team Action Meeting (ATAM) and VSA meetings.
  • Identify and report potential Pop-Up Shop retailers that can transition into a permanent lease.

Experience & Capabilities 


ESSENTIAL EXPERIENCE (what you have done)    

  • Minimum 5 years’ experience in a Mall Leasing or Pop Up Shop role, or alternatively 5+ years’ experience in retail, store management or area management level role.
  • Proven track record of consistently meeting and exceeding sales targets.
  • Negotiate and close deals whilst maintaining strong retailer relationships.
  • Customer focused and passionate about driving excellence to achieve best experience for retailers or customer base.
  • Renowned for keeping abreast with current markets, trends and consumer needs.


CRITICAL KNOWLEDGE (what you need to know)    

  • Beneficial to hold a current sub agents’ licence where required for WA, VIC, & TAS.
  • Understanding of the mall leasing code of conduct and the leasing act.
  • Excellent communication skills with the ability to effectively engage with and influence key stakeholders. 
  • Exposure to the use of CRM software – preferably Salesforce.
  • Financial acumen: analytical and clear understanding of budgets and forecasting.
  • Strategic planning: builds and executes short and long-term strategy.
