Position Summary:
Key front line team member; the “first impression" of our company. Manages, organizes, and coordinates office operations and procedures in order to ensure organizational effectiveness and efficiency by performing the following duties.Key Responsibilities (other duties may be assigned):
Present a courteous, helpful manner to all callers and takes accurate messages when necessary.
Collect, prepare and submit corporate invoices, employee reimbursements for approval.
Responsible for distribution of all mail coming to the corporate location. This includes but is not limited to; opening and sorting incoming mail each day, checking outgoing mail for correct postage and dropping it in the outgoing mailbox before the 4:30 p.m. pick-up.
Receive overnight deliveries and disperse as necessary. Prepare overnight packages as directed.
Maintain office supplies including ordering of all supplies within corporate budget as well as maintaining supply inventory and organization of supply room.
Maintain general corporate office equipment including fielding and coordinating requests for service calls.
Present a courteous, helpful manner to all callers and takes accurate messages when necessary.
Assist with various special projects including but not limited to financial spreadsheet creation and modeling, AR/AP and invoicing.
Keeps up with all action requests.
Responsible for ensuring compliance with applicable laws, regulations and company policies across areas of organizational responsibility.
Professional Experience/Qualifications:
Bachelor’s Degree preferred or a high school diploma required and equivalent amount of experience.
Strong interpersonal and communication skills.
Strong customer service skills.
Self-motivated, strong time management and organization skills.
Detail-oriented and excellent follow-up skills.
Knowledge of office administration.
Ability to deal comfortably and create a positive impression for executive clients.
Computer skills including the spreadsheet and word processing programs, and e-mail at a highly proficient level.
Accuracy
Good decision-making skills
Work Environment:
Work is performed in an office environment with telephones, personal computers, and printers. The office environment is an open workspace with individual workstations. The noise level of the environment is usually moderate. This position is a sedentary position with seldom to occasional lifting of less than 11 pounds; requires frequent lifting of less than 1 pound; and may require standing less than or equal to 1/3 of the day.
