Summary of Job Duties:

The Program Manager will assist the Division Directors, Fellowship Director, Division Administrator and faculty as needed. To be the first point of contact for the office and assume responsibility for any and all day to day operations. All UAMS employees will treat others with Dignity and Respect. We collaborate in policy and program development, implementation, and evaluation using best practices in delivering quality service.


Qualifications:

  • Bachelor's Degree PLUS four (4) years of project/program management experience.

Responsibilities:


Nephrology Division:

  • Serves as the lead administrative support for one division of Internal Medicine and is the primary point of contact for that division.
  • Assists the Division Director in planning meetings, keeping the calendar up to date, preparing department letters, documents, lectures slides etc., preparing documentation for the annual faculty review process; assist division faculty at UAMS and CAVHS in coordinating meetings.
  • Creates and updates(when necessary throughout the month) the monthly on-call schedule for the Division's clinical faculty, fellows, and rotating students on the consult service at both UAMS and CAVHS, distributing the schedule to both UAMS and CAVHS on-call managers, and inputting the schedule into the UAMS On Call system.
  • Responsible for placing clinic blocks and updating the calendar and call schedule.
  • Assists the Division Director in recruiting efforts for new faculty members within the division.
  • Arranging initial phone interviews, offering invitations to visit UAMS, making travel arrangements and preparing detailed itineraries, arranging speaking engagements and organizing any details related to the visit, escorting visitors, requesting reimbursement invoices and processing requisitions in Workday etc.  
  • Serves as back up to other divisions.

Procurement and travel:

  • Responsible for the division’s procurement and travel; ordering items such as office supplies, maintenance requests etc., as well as, request reimbursements in WD.

Fellowship Coordinator:

  • Management of documentation for the subspecialty Fellowship Programs needed to comply with Graduate Medical Education accrediting agencies and the UAMS College of Medicine Institutional Director.
  • Assists program director with instituting and monitoring fellowship program improvements.
  • Coordination of educational and reporting activities for the subspecialty Fellowship Programs to ensure compliance with directives of accrediting agencies.
  • Works with Program Directors to maintain 1 to 3 year didactic curriculums for programs.  
  • Works with Program Directors to schedule in-service examinations  for fellow assessments and evaluations..
  •  Administrates a multisource 360 degree assessment of fellow’s performance.  
  • Completes advancement process for current fellows and On-Boarding process for incoming fellows in New Innovations.  
  • Completes certificate request and check-out process with house staff office for graduating fellows. Use New Innovations to maintain attendance records and send evaluations request for lectures to attendees. Creation/maintenance of call, block, rotation, conference, and clinic schedules and templates.
  • Other Duties as assigned.
