Job Summary

**This position does require training on site in Independence, OH. Qualified applicants must reside in the Cleveland, OH area.**

This is a part time evening shift that includes rotating weekends, the hours are 3:30pm - 12:00am.

As a member of the Centralized Staffing Operation team, you will conduct customer service and provide support to caregivers in Cleveland Clinic’s nursing units. You will review staffing and scheduling adjustments encompassing nurse-to-patient ratios every 4 hours, communicate with assigned areas through computer and/or telephone, generate and review 24-hour staffing projections and seek coverage for shifts and special circumstances. This position does require you to work on site in Independence, OH during the training period, which could last roughly 1 - 2 months.

Responsibilities:

  • Works directly with management of assigned facility/units to review and discuss consistent staffing levels that reflect the appropriate number of licensed and unlicensed staff to meet quality and safe patient staffing and operational needs.
  • Proactively generates and reviews 24 hour staffing projections. Seeks coverage via phone calls and/or texts for shifts and special circumstances.
  • Utilizes scripted responses when appropriate.
  • Recognizes need for escalation of staffing challenges.
  • Conducts Lack of Work process according to Standard Operating Procedure when necessary to maintain safe and productive staffing.
  • Resolves complex problems with minimal leadership guidance.
  • Utilizes staffing and scheduling knowledge to identify and resolve complex staffing issues that directly affect patient care.
  • Utilizes multiple computer systems to communicate with nursing leadership of all hospitals.
  • Works collaboratively with nurse leadership to review current and anticipated staffing needs.
  • Works collaboratively with nursing institute timekeeping to ensure proper coding of caregiver’s time.
  • Provides customer support to internal and external caregivers.
  • Facilitates scheduling of PRN staff and agency staff to maintain operations for the assigned units.
  • Completes appropriate documentation utilizing Kronos for caregiver schedule changes. 
  • Point of contact for unit call offs.  Accurately records, documents, and reports call offs according to SOP.
  • Compiles ad hoc and scheduled reports for Chief Nursing Offers, Nursing Directors, and Nurse Managers.
  • Attends and successfully completes required training
  • Other duties as assigned.

Education:

  • High School Diploma or GED.
  • Associate's Degree may substitute for up to one year of the stated experience OR a Bachelor's Degree may substitute for up to two years of stated experience.

  • Must be able to work in a stressful environment and take appropriate action.
  • Must have outstanding organizational and time-management skills.

  • Ability to build relationships with facility nurse leaders and caregivers.
  • Ability to take ownership of challenges.

Work Experience:

  • Two years customer service experience required.
  • One year of Staffing/Scheduling experience preferred.
  • Associate's Degree may substitute for up to one year of the stated experience OR a Bachelor's Degree may substitute for up to two years of stated experience.
  • Proficient in MS Office, Excel and database software.

Physical Requirements:

  • Requires manual dexterity for constant data entry and ability to sit for long periods of time.
  • Ability to use a telephone without TTY. Articulate speech.

Personal Protective Equipment:

  • Follows standard precautions using personal protective equipment as required.
