Job Summary

The Collaboration Center Coordinator provides front facing office and facility support for the Rite Aid Philadelphia headquarters location. This position provides support to executives, Rite Aid guests and other parties who use the Collaboration Center. The role manages daily office activities, including reception, supply ordering, mail delivery and general administrative support. This role supports Executive Assistants with coordination, onsite planning and execution of HQ meetings.

Responsibilities

  • Assess, evaluate and prioritize tasks to provide administrative support. Serve as site receptionist by providing phone support and visitor management. Provide support with meeting coordination, supply ordering, kitchen maintenance and printer, copier and other site maintenance.
  • Work with Executive Assistants to coordinate onsite meeting activities to ensure the efficient, productive and safe operation of the site for all Company related business, including directing and providing guidance to onsite team members.
  • Coordination and organization of communication materials, including mail, email, telephone, fax, etc.
  • Assist in the development and maintenance of the Collaboration Center budget.
  • Review and execute general office purchase orders, adhering to Company policies around purchasing and expenditures
  • Schedule meeting spaces, resolve scheduling conflicts, and ensure space setup and capabilities align with conference/meeting needs.
  • Administer guest relations, including sharing pre-visit information, check-in and welcome procedures, security and safety procedures, onsite briefings/overviews, answering questions, and providing onsite support.
  • Collaborate with Leaders and Executive Admins to plan and support leadership conferences/meetings.

Qualifications

Experience

3 years of experience in working directly with executive leadership teams required

3 years of experience in Office Management experience required

Education Level

High School Diploma required, Associate degree preferred

Knowledge, Skills and Abilities

Excellent computer skills, including a high degree of proficiency in Microsoft Office 365 required Experience working in a fast-paced environment; ability to adapt quickly to changing business needs required

Ability to maintain a high-level of professionalism and positive attitude Required Customer/client service experience required
