Job Summary

The Order Management Team Lead is responsible for daily coordination and expediting the flow of materials within or between departments as required for billing, shipping and releasing of orders. This individual will serve as the primary point of contact for standard and priority orders to include communication via phone, email, fax, etc. as needed with internal departments, customer service, and customers. This individual will monitor all tracking to ensure 100% on time billing and shipping per customer order (error free), and confirmations of shipments, and handle administrative functions throughout the fulfillment process as well as support for supervisors and management as needed.

Job Description

Essential Duties & Responsibilities:

  • Understanding of customer service and problem resolution as it relates sales orders for price holds, overdue holds, receiving PO’s. and stock put away, HOT shipments, removing reservation from inventory, and working with CSR’s on shipping issues.
  • Responsible for releasing orders, working order management reports to ensure 100% accuracy with on time shipping.  Properly and accurately creating shipments to be picked, releasing orders for picking, assigning pick routes to users, verifying pick issues and resolving, and picking orders as needed. 
  • Release HOT shipments.
  • Checks Emails, voice mails and answers phone calls with a sense of urgency through the day.
  • Ability to process paperwork for LTL, UPS/FedEx shipments. (all carriers)
  • May schedule appointments for truckload deliveries; close out BOL for billing, depending upon circumstances.
  • Works with IT to resolve helpdesk tickets and follow-ups as needed.
  • Participates in Customer Service related conference calls. (if needed)
  • Communicate and work with Shop staff to monitor progress of Shop orders scheduled for shipment each day.
  • Proactively and promptly communicates issues with Corporate personnel or CSR’s via phone, email or use of an Excel spreadsheet log, keeping track of all issues until resolution is documented.
  • Works to resolve any parts, back order, etc. issues to ensure order is processed.
  • Monitor daily reports to identify on-time delivery and shipping issues and assist in research as to why delay occurred.  For certain customers assist Office Staff and Shipping in monitoring to ensure customer specific requirements are followed.
  • Provide leadership to team/Absence of Supervisor, Training of new employees and other duties as assigned.
  • Close interaction with CSR’s, Corporate staff and Managers, Customers and Southaven staff

Skills:

  • Computer literacy to include Warehouse Management Systems, Warehouse Control Systems and MS Office (Word, Excel, Internet Explorer) PC skills at an intermediate or higher level; systems knowledge at an intermediate level.  ORACLE knowledge a must.
  • Communication Skills – Ability to communicate effectively with all levels within the organization to include customer service, sales, finance, employees and managers.
  • Strong organizational skills to handle multiple tasks and responsibilities in a timely manner; ability to respond and re-prioritize as customer service needs dictate.
  • Strong sense of urgency
  • Ability to develop working relationships with others and be a subject matter expert or ‘go-to’ for the facility.
  • Strong warehouse systems knowledge of internal WMS to include 4th Shift, Oracle, AX Dynamics, Excel, Outlook, Word and Warehouse Control System (WCS) software at intermediate or advanced level
  • Advanced knowledge of shipping documents and processes (Pick sheet, pack list, BOL’s, labels, etc.). 
  • Intermediate or advanced knowledge to support customer returns as a backup to primary
  • Intermediate or advanced knowledge of Rockets, Canada, all other shipments to support as a backup to primary.  

Additional Job Details

  • High school diploma
  • 2-3 (two - three) years experience in warehousing/logistics required with previous experience handling administrative responsibilities; 1-2 years of which must include shipping office experience.
  • 2 (two) years experience utilizing WMS and MS Office in a fast-paced work environment.

PHYSICAL DEMANDS:
