The Client Service Representative is our primary source of first impressions. You are the first point of contact for clients and patients visiting or calling the veterinary hospital. You will provide exceptional customer service and clerical support to ensure smooth and efficient hospital operations. You are responsible for scheduling appointments, greeting clients, managing patient records, and performing other administrative tasks as required.
Responsibilities:
Establish a welcoming environment for clients and patients from the first interaction by greeting them in a friendly and professional manner.
Professionally answer phone calls and schedule appointments.
Verify and update patient information, including medical history and billing information.
Assist with client communication, flow, and advocacy (have they been waiting too long?), such as providing information on services, pricing, and hospital policies.
Process payments and manage financial transactions accurately, professionally, and as discreetly as possible.
Maintain accurate patient records and communication logs.
Assist veterinary team with administrative tasks, such as data entry and recordkeeping.
Manage inventory and stock of office and medical supplies.
Assist with general clinic cleaning and maintenance.
Manage and respond to electronic communications such as emails, texts, online inquiries and social media accounts.
Requirements:
High School Diploma, or equivalent
Strong communication and interpersonal skills.
Excellent customer service skills. Proficient computer skills, including experience with Microsoft products and practice management software.
Ability to multi-task and work in a fast-paced environment.
Strong attention to detail and excellent organizational skills.
Ability to work well in a team environment
Physical Demands:
Must be able to sit for up to 8 hours
Must be able to lift and move up to 25 pounds
