Job description

  • Supervise all staff facilities and office admin external contractors. Ensure that Sun Life’s code of conduct is understood by all service providers.
  • Review regularly service levels and pricing of office related vendors including electronic devices (phones, tablets) and corporate travel agency; strive to minimize costs whilst maintaining high quality and high employee satisfaction.
  • Liaise with contractors to ensure service or product provided is timely and appropriately, and carry out pricing comparison and negotiation in a professional manner 
  • Control cost, keep financial and non-financial records; perform budget and spend analyses and forecasting as required
  • Responsible for procurement and maintenance office equipment / facilities, office removal/renovation. 
  • Manage travel relationships/accounts as local travel manager and office insurance 
  • Establish local policy & procedure according to global guidelines
  • Spearhead the implementation and standardization of workplace strategy
  • Driving all projects through with a sense of urgency and meeting deadlines
  • Perform due diligence activities for new vendors and renewal of existing vendors

Preferred skills

  • Proven experience as facilities/office administrator or relevant position
  • Well-versed in office operations and facilities management best practices
  • Strong project Management skills
  • Strong sense of ownership, detail-minded and well-organized
  • Excellent verbal and written communication skills
  • Excellent organizational and vendor management skill

Qualifications

  • University graduate preferred, degree in Facilities/Business Management an advantage
  • 6-8 years’ experience or above in office administration field, including 3 years in supervisory level
  • Relevant Office administration experience with proven success
  • This is both a manager and worker role – one is expected to stand into all roles within the team if and when needed
