Basic Purpose:

Responsibilities include managing a team carrying-out a combination of administrative and client service functions, along with wealth planning and/or investment-related responsibilities.  Individuals in this role must consistently demonstrate the ability to work collaboratively with other colleagues across Client Service, Investments and Wealth Planning, as part of a team.  Build and foster relationships with clients and COIs, and assist in high-level support services.

Primary Responsibilities:

Administration (70% of time spent).

Directly supervise team of Client Success Specialists and ensure that they are providing an exceptional client experience.

Delegate administrative tasks to team members, and coordinate daily workflow to optimize the client experience.

Provide team members with ongoing training and feedback on job performance.

Ensure that account servicing and maintenance of records adhere to Compliance standards.

Maintain up-to-date, expert knowledge of custodial administrative and operational requirements associated with account maintenance, and industry regulations.

Manage training programs for Client Success Specialists that relate to policies and procedures, portfolio accounting, CRM, and the preparation of presentations. 

Serve as a point of escalation for account servicing team to address issues as necessary.

Create monthly and quarterly departmental reports to determine whether KPIs are being met and where there is room for improvement

Support Wealth Advisors in monitoring account guidelines and completeness of client records.

Client relationship management (30% of time spent).

Interact with clients to manage their service needs and track goals.  Identify opportunities for value adds in the relationship.

Monitor timeliness of client account activities such as billing, document updates, quarterly mailings, annual meetings.

Communicate with associated third parties such as outside financial consultants, and other centers-of-influence.

Create client meeting and presentation materials.

Coordinate with other team members to standardize the client experience.

Participate in client meetings and discussions including service and planning needs.

Job Requirements:

Minimum 5 to 7 years of related experience.  Management experience preferred. Excellent verbal and written communication skills. Strong computer skills including Microsoft Excel, Word, PowerPoint, Adobe and Windows.  Interest in learning various software applications as the job requires. Must be organized and have a strong attention to detail. Ability to collaborate and take initiative and leadership in a team environment. Must have strong systems and procedures knowledge with the ability to train. Interest in career growth in wealth management.

Physical Requirements

  • This position requires the physical capabilities to work in an office environment, which may include prolonged periods of sitting at a desk and working on a computer.   • This position is required to work onsite 4 days per week.
