Responsibilities include, but are not limited to:

  • Provide high-level administrative and operational support to executive leadership, including complex calendaring, scheduling, travel arrangements, and expense reporting.

  • Manage end-to-end meeting coordination, including preparing agendas, taking clear and concise meeting notes, documenting decisions, and tracking action items to ensure timely follow-up and completion.

  • Act as a trusted partner to executives by proactively anticipating needs, prioritizing requests, and ensuring seamless day-to-day operations in a fast-paced, dynamic environment.

  • Coordinate and communicate with internal stakeholders to follow up on assigned tasks, deadlines, and deliverables resulting from leadership meetings.

  • Organize and support team and leadership meetings, offsites, and events, including logistics, materials preparation, and post-event follow-up.

  • Support general office management activities, including procurement support, office supplies coordination, and vendor interactions.

  • Work cross-functionally with other executives, executive administrators, and key business partners to ensure alignment and efficiency.

  • Maintain professionalism, discretion, and confidentiality when handling sensitive information and executive communications.

Position Requirements

  • 8+ years of experience supporting executive-level leaders (Vice President and above).

  • Demonstrated proficiency in the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

  • Experience working with procurement and expense systems such as Coupa or similar platforms.

  • Proven ability to manage multiple priorities and support several leaders concurrently with accuracy and attention to detail.

  • Strong organizational and follow-through skills, with the ability to independently manage tasks and meet deadlines with minimal supervision.

  • Excellent verbal and written communication skills, including the ability to produce professional meeting notes, summaries, and follow-up communications.

  • High level of professionalism, maturity, discretion, and sound judgment; ability to always maintain confidentiality.

  • Positive, service-oriented mindset with the ability to remain calm, adaptable, and effective under pressure.

Job Location

  • This is an on-site position based in San Jose, CA. In-office attendance (4 days a week) is required.

The annual salary range for California is $45.09 to $83.75 an hour. You may also be eligible to receive incentive compensation: bonus, equity, and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure. Please note that the salary range is a guideline and compensation may vary based on factors such as qualifications, skill level, competencies and work location.
