You will be part of the People Team, working closely with our HR, Benefits, and Payroll Partners to support various local HR tasks and administer our comprehensive benefits package.
Your role will involve coordinating benefits enrolments, placing benefit orders, and ensuring smooth execution of HR operations. You will be a key point of contact for colleagues, helping to manage HR processes, maintain accurate employee data, and contribute to the continuous improvement of our HR and benefits administration. This position offers a dynamic opportunity to collaborate across multiple teams and systems to deliver an excellent employee experience.
The role is based in Cluj-Napoca in a hybrid setup, and will require presence in the office 2-3 days per week – with our main team office anchor day being Wednesday.
We will count on you to:
HR Operations:
- Serve as main point of contact for colleagues for HR queries, managing the team mailbox and issuing various employment certificates
- Coordinate key HR processes including medical checks for new joiners, onboarding, flexible working arrangements, new parents leave and handle various related requests, documents, and approvals needed
- Oversee time and absence management by monitoring usage, tracking medical leaves and certificates, and reporting to relevant teams to ensure accurate records and compliance.
- Collaborate closely with HR Operations, Benefits, Payroll, Finance, and external payroll partners to maintain payroll accuracy and support HR policy maintenance and development in line with employment legislation.
- Maintain data quality and integrity through regular HR audits, create and update employment contracts, issue certificates, addendums, and generate ad hoc reports and trackers, as needed
- Handle various internal HR communications / announcements and provide backup support to wider team members to ensure consistent coverage during holidays, as needed.
Benefits Orders:
- Responsible for ordering and coordinating benefits enrolment, ensuring timely delivery of benefits materials, and serving as a liaison between our colleagues and benefits providers.
- Assist colleagues with benefits enrolment, changes, inquiries, as well as claims and reimbursements, providing clear information and maintaining accurate records of all benefits-related communications and transactions.
- Collaborate across HR Operations, Benefits, and Payroll teams to ensure proper processing of benefits deductions, enrolments, claims, and reimbursements, and support open enrolment activities including preparation and communication.
- Stay updated on benefits policies and compliance, assist with reporting and audits, and contribute to continuous improvement of benefits administration processes.
HRIS Systems (Reges, GITS, 361 Benefits and Workday):
- Supervise maintenance of individual employee data records, ensuring the confidentiality of information contained, in our HRIS systems to accurately match with the employment files
- Ensure data quality and integrity by performing regular maintenance and system audits
- Monitor and process incoming requests and personal data changes on our HRIS systems making sure the data is correctly updated
- Continuous involvement in helping our colleagues and managers, to understand and use our HRIS systems and existing HR policies.
What you will need to have:
- 2-3 years of relevant experience in HR Operations
- Strong knowledge of Romania's labour legislation
- Good collaboration skills to work effectively with colleagues, vendors and cross-functional teams
- Data management and Excel reporting capabilities
- Commitment to confidentiality, compliance awareness, and maintaining data accuracy
- Strong organizational abilities with attention to detail and problem-solving skills
- Fluency is required in both Romanian and English
