As the Senior Warehouse Operations Support Admin, you will report to the Site Director and will be responsible for managing all administrative aspects of warehouse operations, including vendor management, accounts payables and receivables, operational budgets, reporting, hiring initiatives, and employee engagement activities. You will also execute any ad hoc requests and operational tasks as prioritized by the Site Director. You will ensure accurate and timely processing of invoices, budget management, and compliance with state and federal regulations.
This role requires strong analytical skills, attention to detail, and the ability to collaborate effectively with various stakeholders to support the smooth and efficient functioning of the warehouse.
Primary Responsibilities:
Vendor Management: Oversee all aspects, such as the setup, activation, and management of vendors, including ordering, shipping, and delivery; responsibilities also include decommissioning of vendors to streamline operations
Invoice Processing: Review and validate all invoices related to warehouse operations, ensuring timely verification and payment to vendors
Error Analysis: Analyze discrepancies in invoices and coordinate with vendors to resolve issues related to inaccurate, delayed, or misrepresented invoices
Budget Management and Support: Assist the Site Director in the validation, execution, and reporting of weekly and monthly warehouse budgets, utilizing advanced Excel skills and basic accounting knowledge, providing proactive weekly and monthly reports to site leadership on budget expenditures and outlook; oversee and reconcile corporate purchase (P-Card) expenses and transactions; arrange travel for the Site Director and manage related expense submissions
Supplies Management: Conduct price analysis, manage ordering and returns, and oversee budget management for warehouse supplies, updating Grainger machines for colleague supplies based on new hires or terminations across all shifts
Employee Event Management: Collaborate and assist in the planning, setup, and execution of all site engagement events, and oversee the expenses, including reviewing, ordering, and updating budgets based on continuous staffing activities
Database Management: Update operational databases with data provided from audit teams, staffing teams, and other pertinent corporate partners
Reporting: Manage staffing reports to reflect changes in colleague counts, ensuring accurate planning for engagement and operational events; report updates to the Site Director; maintain records, including filing and retention, in compliance with organizational standards
Regulatory Compliance: Ensure compliance with all state and federal licenses related to Distribution Center operations
Required Qualifications
3+ years of administrative experience in a warehouse or logistics or operations or large office environment
Experience in Microsoft Office Suite, with advanced Excel
Experience with accounting basics
Strong organizational and multitasking skills
Excellent communication (written and verbal) and interpersonal skills
Problem-solving skills and the ability to work independently or as part of a team
Preferred Qualifications
5+ years of administrative experience in a warehouse or logistics or operations or large office environment
Knowledge of health and safety regulations related to warehouse operations
Education
Associate degree or equivalent relevant experience
Pay Range
The typical pay range for this role is:
$17.00 - $34.15This pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls. The actual base salary offer will depend on a variety of factors including experience, education, geography and other relevant factors.
