The Front Desk Concierge will assist and serve our employees, guests, and clients. Assist a team of Industrial Security Specialists and Facility Security Officers with tasking that may be required as well as other departments when the need arises. 
 
This position requires on site attendance Monday through Friday at the Hollywood MD office and is not a remote position. There are two part time positions available: Morning shift 7:30am – 12:30pm and Afternoon shift 12:30pm – 5:00 pm (25 hours per week).
 
Responsibilities:
• Greet and assist all onsite and visiting personnel, guests, and clients.
• Perform security training course certificate approvals in SMXcel and track in Security Information Management System (SIMS).
• Ensure the conference rooms are maintained, stocked and ready to use.
• Guide out of town guests with local information and accommodations. 
• Provide support to personnel for catering events, coordinating events, and ensuring that areas are set up and take down is completed each day.
• Post office (USPS) & UPS/Fed Ex and other shipping duties as needed.
• Perimeter checks and security checklist are completed as required at assigned site
• Report Facility maintenance and safety needs and assistance as needed.
• Data entry, create and manipulate reports
• Microsoft Office Suite (Excel/Word/PowerPoint/Teams)
• Assist with fulfillment of Request tickets - processing, tracking and completion (Service Now)
• Basic IT troubleshoot such as providing guidance to map a printer, conference room equipment or connecting to Wi-Fi.
• Basic office skills and office administration tasking
• Maintain, order and track inventory and stock on all office supplies and kitchen areas for SMX facilities working directly with the Facilities department.
• Basic knowledge of safety protocol, evacuation process and inventory control working directly with the Facilities department to ensure compliance with State and Federal regulations and inventory of First Aid kits, update evacuation maps.
 
Specific Duties to this position:
• Assist with new hire citizenship verifications
• Administrative support for Security as needed to include onboarding and separation of employees
• Back up Front Desk Concierge for other SMX offices as needed - Assistance with clearance administration as needed utilizing DISS/NBIS/SWFT/NISS/NCAIS (clearance required)
 
Requirements:
• Clearance Required: Current Active DoD Secret Clearance
• 1-3 years' professional or administrative experience • Attention to detail
• Ability to understand and apply rules, regulations, directives, and procedures
• Ability to multi-task
• Proficient with MS Office Suite to include TEAMS.
• Effective and concise oral and written communication skills
 
Desired Skills:
• Completion of CDSE FSO Curriculum Completed through DCSA for Possessing Facilities a plus, required shortly upon hire.
• SIMS configuration management
• Knowledge of databases and software such as Amazon Workspace, C-CURE, DISS, e-APP, NBIS and SWFT
• Knowledge of the 32 CFR Part 117 NISPOM
• Experience in a Customer Service Role
• Industrial Security experience a plus.
