Location- To be based in Solihull 2-3 days a week

The Role

This is a varied and hands-on finance administration role, supporting transactional processing across the business. You’ll play a key part in PDQ administration, period-end activity, reconciliations, acquisitions, and banking support, while working closely with managers and wider finance teams.

Key Responsibilities

PDQ Administration & Site Support

  • Manage additional and replacement PDQ orders, cancellations, and records
  • Maintain VAT schedules and bank reference lists aligned with terminal providers
  • Act as the main contact for PDQ-related queries including refunds, settlements, and processed transactions
  • Support charge queries and liaise with card support services on company-wide issues
  • Support the Transactional Finance Administrator with site support and training

Period-End Postings

  • Prepare central journals and postings
  • Manage unreconciled bank journals at AP close
  • Journal unreconciled cash to Profit & Loss or Balance Sheet
  • Process Healthy Pet Club (HPC) receipts and reconcile sales, receipts, and charges
  • Investigate unreconciled payments (non-supplier) and post to Oracle codes

Reconciliations & Analysis

  • Perform period-end reconciliations
  • Analyse unreconciled cash codes
  • Carry out code and trend analysis on specific accounts
  • Provide team-wide support, particularly assisting managers with journals, analysis, and cover

Acquisitions Support

  • Support PDQ setup and acquisition workstreams
  • Liaise with Lloyds to create new merchant accounts
  • Create virtual merchant accounts linked to My Pet Portal
  • Support Clover device initial user setup
  • Act as the communication point of contact for finance administration data
  • Provide Ireland support including PDQ (Adyen) and banking (JP Morgan)

Banking Support & Administration

Virtual Credit Cards (VCC):

  • Create and deactivate users
  • Maintain custom data fields (cost centres)
  • Create and manage purchase groups
  • Support VCC approvals when required

Bank Platforms:

  • Lloyds Commercial Bank – create, administer, and approve user accounts
  • JP Morgan – create and approve user accounts
  • Support Ireland teams with account setup

Process Improvement

  • Maintain and update finance processes and SOPs
  • Contribute to continuous improvement across transactional finance operations

About You

You’ll ideally have:

  • Experience in finance administration or transactional processing
  • Strong attention to detail and organisational skills
  • Confidence working with reconciliations and period-end processes
  • Good communication skills and a collaborative mindset
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience with PDQ systems, banking platforms, or Oracle (desirable but not essential)
