Job Description Summary:

The National Accounts Coordinator provides comprehensive administrative support to the National Accounts team and their internal and external clients. This role supports a geographically dispersed team by supporting operational activities, maintaining critical documentation, and ensuring compliance with company standards, policies, and contractual requirements.

POSITION RESPONSIBILITIES AND DUTIES:

National Accounts Administrative & Operational Support:

  • Provide comprehensive administrative support to the National Accounts team and their internal and external clients
  • Support a geographically dispersed team by coordinating operational activities
  • Track deliverables, action items, and deadlines to ensure timely completion
  • Maintain organized, accurate, and compliant documentation and file structures
  • Manage the shared general email inbox and route inquiries appropriately
  • Perform data entry, reporting, and document management related to National Accounts clients, including third‑party compliance reporting

Account & Client Support:

  • Maintain accurate client contact information and reference lists
  • Collaborate with internal departments to fulfill client reporting requests (e.g., safety, sustainability, operational requirements)
  • Attend team meetings, document discussions, and track follow‑up actions
  • Build, maintain, and update historical client data (hourly rates, insurance rates, contract language, related documentation)
  • Download and manage documentation from client proposal requests

Contract & Compliance Support:

  • Track, file, and maintain all National Accounts client contracts and NDAs
  • Prepare and maintain contract summary sheets, including renewals and addendums
  • Support and track the internal contract review process, consolidating stakeholder feedback
  • Identify, document, and maintain marketing limitations for each client or project
  • Update and manage National Accounts contracts within the Legal Management / Contract Lifecycle Management platform (ShareFile)
  • Request, renew, review for accuracy, and track insurance certificates

Third‑Party Platform & Prequalification Management:

  • Identify and maintain a centralized inventory of all active third‑party platforms
  • Update and manage prequalification processes on third‑party platforms
  • Maintain and update supplier information across all third‑party sites
  • Support the establishment and maintenance of a centralized “super user” structure

Meeting & Communication Support:

  • Prepare, document, and distribute meeting minutes
  • Assist with organizing and scheduling meetings or events
  • Compose, edit, and format letters, memos, reports, procedures, and other business documentation as directed

Financial & Office Support:

  • Process team expenses and invoices, ensuring accuracy before submission to accounting
  • Arrange for purchase of office supplies and other team‑related items

Continuous Improvement & Professional Contribution:

  • Identify issues and recommend potential solutions
  • Follow established procedures while identifying opportunities for improvement
  • Apply baseline planning, organizing, and coordination skills to assigned tasks


MINIMUM SKILLS OR EXPERIENCE REQUIREMENTS:

  • Minimum of 3 years of administrative experience, or an equivalent combination of education and experience
  • At least 3 years of construction project administration experience
  • Advanced proficiency with Microsoft Office Suite
  • Proficient in general office procedures and office equipment
  • Strong verbal communication skills, including professional telephone etiquette
  • Strong written communication and business writing skills
  • High level of reliability, dependability, and flexibility
