Position Overview

The PMO / Project Coordinator is a key role in supporting the delivery of HR Transformation projects across the Hitachi Group, with a primary focus on Workday implementations and HR Tchnology -related initiatives. The role ensures smooth project execution by providing governance support, maintaining accurate documentation, tracking progress, and facilitating communication across global teams.

The ideal candidate is highly organized, proactive, and skilled in project management tools (Smartsheet, Excel, Office, ADO). Knowledge of HR systems such as Workday is an advantage. This role reports to the Project Manager or PMO Lead and works closely with stream leads, stakeholders, and external vendors.
 

Key Responsibilities
 

Governance & Tracking

  • Support project governance by maintaining schedules, RAID logs (Risks, Assumptions, Issues, Dependencies), and dashboards.

  • Ensure governance standards (stage gates, approvals, reporting cadence) are followed.

  • Track action items and decisions across meetings and ensure accountability for follow-up.

  • Coordinate with vendors and internal teams to monitor SOW deliverables and timelines.

Documentation & Reporting

  • Maintain all project documentation with version control in SharePoint/Teams.

  • Prepare and consolidate status reports, dashboards, and SteerCo/Working Group decks.

  • Document change requests and maintain change logs in Smartsheet.

  • Ensure accurate records of project decisions, approvals, and progress updates are available.

Communication & Stakeholder Engagement

  • Act as liaison between the project team, stakeholders, and external vendors.

  • Share updates and notifications through Smartsheet, Outlook, and Teams.

  • Support internal team communication by facilitating collaboration channels and ensuring alignment.

  • Help manage stakeholder expectations through clear reporting and structured updates.

Schedule & Resource Support

  • Assist the Project Manager in creating and maintaining project schedules in Smartsheet.

  • Track progress against deadlines using Gantt charts and dependency views.

  • Support resource allocation tracking (capacity, utilization, over-allocations) in Smartsheet.

  • Coordinate procurement-related activities, ensuring contracts (SOWs, purchase orders) are tracked and stored.

Quality & Risk Support

  • Assist in documenting and applying quality standards across deliverables.

  • Maintain checklists in Smartsheet to monitor quality assurance and audit results.

  • Use risk register templates to track risks, issues, and mitigations; ensure regular updates to stakeholders.

  • Monitor compliance with data, privacy, and security requirements.

Execution Support

  • Provide logistical and coordination support for design workshops, testing sessions (UAT, E2E), and cutover planning.

  • Track test cases, results, and defects in collaboration with stream leads and testing teams.

  • Support readiness and hypercare activities after go-live.

Required Skills & Experience

  • 1–3 years of experience in project coordination, PMO, or similar support role.

  • Strong proficiency with MS Office (Excel, PowerPoint, Word), Smartsheet, SharePoint, and Teams.

  • Experience with ADO (Azure DevOps) or other project management tools.

  • Knowledge of Workday or other HRIS systems is a strong plus but not mandatory.

  • Strong organizational skills and attention to detail, able to manage multiple activities at once.

  • Clear communication skills, written and verbal, with ability to prepare structured updates.

  • Comfortable working in a global, multicultural, and matrix organization.

Preferred

  • Experience supporting HR Transformation or HR Technology implementation projects.

  • Familiarity with PMO frameworks and project delivery methodologies.

  • Exposure to vendor management and large-scale system implementations.
