POSITION SUMMARY

The Team Lead Mailroom Associate is responsible for assisting the manager with day-to-day operations of the mailroom while ensuring the efficient and accurate processing of incoming and outgoing mail. This position involves coordinating mailroom activities, maintaining an organized workflow, and ensuring the timely delivery and distribution of mail and packages within the organization. The Team Lead will also assist with staff training, provide support for mail-related requests, and troubleshoot any issues that arise in the mailroom operations.

DESCRIPTION

Duties and Responsibilities

  • Create and update excel spreadsheets, mail merge projects and word documents.
  • Identify and fix errors prior to mail out.
  • In absence of manager, provide guidance to a team of 2-15 customer service associates.
  • Create and maintain policies and procedures manual specific to location requirements.
  • Process mail through 4 stages: Inbound, Centralized, Outbound and Post Close.
  • Perform various Mail Center activities including scanning, sorting, metering, tracking mail, folding, inserting, delivery, pickup, etc.
  • Correctly match documents with folders, verify document accuracy, print, and prep documents.
  • Process inbound documents for accuracy, completion, and further steps against client established processes.
  • Demonstrate flexibility in satisfying customer demands in a high volume, production environment. 
  • Demonstrate high level of attention to detail and work independently.
  • Adhere to all safety procedures.
  • Take direction from supervisor or site manager.
  • Ability to lift heavy boxes, files, or paper as needed, which may be up to 55lbs.
  • Ability to sit, stand for long periods (possibly entire shift).
  • Handle time-sensitive material (i.e., confidential, urgent packages).
  • Maintain the highest levels of customer care while demonstrating a friendly and cooperative attitude.
  • Regular attendance and/or punctuality.
  • Ability to get along with others.
  • Mentor more junior level team members.
  • Performs related duties as assigned by management.

Qualifications and Education Requirements

  • High school diploma or equivalent required.
  • 6+ years related experience.
  • Previous experience with data entry.

Skills, Abilities, and Knowledge

  • Strong Microsoft Office skills (e.g., Excel, Word, etc.).
  • Ability to read, write and speak English.
  • Required to work at computer for long periods.
  • Required to stand, walk, simple grasp, reach with hand and arms.
  • Required to regularly sit, talk, or hear.
  • Required to possess close vision and ability to focus.
  • Conditions may include office environment, computer room, production floor, warehouse and shipping/receiving. Occasional exposure to dust, dirt, toner, ink, and other environmental factors is possible.
  • Repetitive motion is required; may require twisting/bending/climbing.
