About This Opportunity 

We are seeking a motivated, energetic and organised Client Liaison Coordinator to coordinate the client liaison team and the finance and administrative functions of the Veterinary Teaching Hospital (VTH).

Key responsibilities will include:

  • Supervise, mentor and support VTH’s Client Liaison Officers in their duties and responsibilities.
  • Coordinate effectively and efficiently the finance and administrative functions of the VTH including monitoring of billing, management of debtors and banking reconciliation and ensuring that client and patient letters and forms are kept up to date.
  • Liaise confidently and competently with a large team of veterinarians, veterinary specialists and support staff regarding client financial transactions and administrative tasks.
  • Adhere to SOPs (standard operating procedures) for Finance and Administration and develop and     maintain SOPs within the VTH.
  • Use practice management software to support the efficient administration and business management requirements.
  • Use practice management and University financial software (UniFi and Reportal) to raise purchase orders and assist in entering stock information and reporting.
  • Provide a high level of customer service to clinic clients, veterinary students, staff and other external clients, both by phone and in person.
  • Provide administrative support to all clinic staff as required and assist with reception duties as required in an efficient and effective manner.
  • Carry out other duties as required by the Business Manager, Client Relationship Manager, or Local VTH Manager.

About You

  • Completion of a diploma qualification and at least two (2) years subsequent relevant work experience in accounts receivable or financials role in organisations, preferably in a veterinary practices or related industry; or an equivalent combination of relevant experience and/or education/training
  • Knowledge of University finance policies and procedures or the demonstrated ability to rapidly gain such knowledge.
  • High level organisational skills, including the ability to prioritise competing work demands and approach tasks in a systematic manner.
  • Intermediate computer skills using Microsoft Office suite, especially Excel, and the demonstrated ability to learn specific financial applications.
  • Good written and oral communication skills, including high level organisational skills and demonstrated ability to use these skills in managing professional & operational relationships with colleagues, clients and students
  • Knowledge of specialist software programs including practice management software, UniFi, and the UQ Reportal.
  • Ability to effectively supervise and mentor staff.
  • Demonstrated ability to work flexibly with the use of initiative and autonomy.
  • Knowledge of ethical requirements, relevant policies and procedures, including workplace health and safety, employment equity and anti-discrimination.
