What would you do? Plan Design & Documentation Oversight
• Oversee preparation and customization of plan design documents for startups, takeovers, and amendments (401(k), 403(b), DB plans).
• Review prior plan documents during takeovers and validate protected benefits and compliance requirements.
• Ensure accuracy and regulatory compliance across plan documentation lifecycle.
• Support governance of document maintenance, including restatements and SPD issuance.
Amendments & Regulatory Management
• Supervise drafting and execution of amendments and board resolutions.
• Support handling of IRS inquiries and regulatory clarifications.
• Ensure timely updates of plan documents in line with regulatory changes.
Onboarding & Escalation Management
• Manage onboarding escalations for new business submissions and ensure prioritization of urgent cases.
• Act as escalation point for complex plan design and documentation issues.
• Coordinate with Regional Offices and Field teams to resolve client-specific plan design concerns.
Annuity & Contract Coordination
• Oversee review of annuity bids and support preparation of related applications and contracts.
• Ensure documentation accuracy aligned with client requirements and compliance standards.
Quality, Risk & Operational Controls
• Monitor SLA adherence, TAT, quality scores, and escalation trends.
• Conduct RCA for recurring issues and implement corrective action plans.
• Strengthen documentation controls and audit readiness practices.
• Ensure compliance with ERISA, IRS, and internal governance standards.
Stakeholder & Team Leadership
• Act as primary point of contact for Regional Office escalations.
• Partner with Compliance, Sales, CRM, and Operations teams to ensure seamless service delivery.
• Support leadership in reporting, dashboard preparation, and performance reviews.
• Drive training and capability building within the team.
What are we looking for? Functional expertise in U.S. retirement plans, including Defined Contribution (401(k), 403(b)) and Defined Benefit (DB) plans.Experience in U.S. Retirement operations with strong exposure to plan design, document preparation, amendments, restatements, and regulatory compliance.
Proven experience managing teams of 15–30 professionals and ensuring SLA adherence, quality performance, and timely document delivery.
Strong hands-on expertise in reviewing takeover plans, assessing protected benefits, and ensuring plan design compliance with IRS and ERISA regulations.
Experience managing amendments, board resolutions, and ensuring proper documentation execution.
Exposure to handling IRS inquiries, regulatory escalations, and onboarding (new business) prioritization mechanisms.
Experience managing high-volume, email-intensive environments with multiple Regional Office stakeholders.
Excellent verbal and written communication skills; Inbound and Outbound voice support experience required
