The Bid Desk Manager leads enterprise-wide competitive bidding events (RFx and e-auctions) across all business units. This role serves as a key liaison between Business stakeholders, Sourcing leaders, P2P/S2P teams, and Suppliers to deliver compliant, efficient, and value-driven procurement outcomes. The role owns bid event execution, governance and controls, stakeholder enablement, reporting, and continuous improvement—including identification of automation/AI opportunities.
Bid Event Leadership (RFx / e-Auctions)
- Serve as the primary liaison among internal requesters, Sourcing, P2P/S2P teams, and suppliers for competitive bidding activities.
- Lead end-to-end execution of competitive events, including RFx development, supplier communications, event administration in Coupa, and multiple e-auction formats.
- Coordinate bid analysis, supplier evaluations, and result communications; provide clear award recommendations aligned to business requirements.
- Negotiate with designated suppliers for quick-bid commodities and document saving outcomes per policy.
Opportunity Identification & Value Delivery
- Analyze historical purchase data and tail-spend to identify, prioritize, and expand opportunities for competitive bidding.
- Drive procurement initiatives that improve cycle time, productivity, and total cost by introducing and sustaining supplier competition through bidding.
Governance, Risk, Controls & Compliance
- Establish, monitor, and enforce controls supporting a compliant competitive bidding process.
- Monitor and review Procurement and Sourcing controls and compliance; ensure appropriate approvals and documentation are maintained.
- Monitor process workflows to support timely requisition submissions and clean handoffs across the S2P/P2P lifecycle.
Stakeholder Support & Customer Service
- Provide Tier-2 customer care support for escalations, complex inquiries, and issue resolution related to sourcing events and purchasing workflows.
- Partner cross-functionally with S2P and Business teams to streamline purchasing processes and improve the end-user experience.
Reporting, Supplier Performance & Enablement
- Develop and maintain various dashboards and reports for multiple commodities such as cycle time, participation, compliance, savings, exceptions and supplier performance
- Conduct quarterly supplier performance/feedback calls with designated suppliers to drive service and process improvements.
- Deliver training and awareness sessions for suppliers and internal stakeholders on process changes, expectations, and compliance requirements.
Continuous Improvement, Automation & Innovation
- Lead process improvement initiatives to reduce manual effort, eliminate redundancies, and strengthen controls.
- Identify and propose automation/AI opportunities to improve efficiency, data quality, and customer experience.
Contracting Support
- Create non-strategic contract records for specific commodities by completing required metadata fields in the CLM tool and ensuring alignment with sourcing outcomes.
