The Chief Security Officer (CSO) leads a large global team and is responsible for the Group's Cyber Security, Fraud, Scams, Business Resilience, Crisis Management and the end-to-end Technology and Risk that underpins these functions.

The CSO is a regular representative at Board and Executive Leadership sessions that fall within Security's remit. The CSO reports into the CIO.

The Executive Assistant is a multi-faceted and critical administrative position to assist the Chief Security Officer and CSO Leadership team. You will also be a point a reference for leaders within the team and other business units regarding communication with CSO while applying and advising on group administrative policies and procedures.


Your Impact:

As Executive Assistant you will work in partnership and provide support to the Chief Security Office.
 

Key responsibilities include:

  • Provide extensive support to the CSO with a professional approach and maintaining a high level of confidentiality.

  • Provide efficient delivery of all aspects of administrative and business support to enable the smooth operation of the CSO office.

  • Provide proactive and considered diary and email management, including establishing and maintaining an appropriate system for electronic communications.

  • Provide effective meeting management including scheduling meetings and appointments, ensuring the most effective use of the EGM's time. Coordinate the preparation of meeting materials to allow sufficient time for review. Provide proactive follow up of action items to ensure completion and within deadlines.

  • Co-ordinate all travel arrangements in the most cost-effective way and always ensuring adherence to the Group Travel policy.

  • Stakeholder management – the CSO has a large internal partner team who collectively deliver a range of BAU and project initiatives within HR, Communications, Events and Strategy, work in conjunction with the CSO and Executive Advisor to liaise with teams to deliver their projects.

  • Ensure timely and accurate processing of expense reports in compliance with the Group Corporate Card usage and procedures.

  • Managing events and functions and find cost effective solutions while ensuring that spend is within plan.

  • Establish and maintain strong, effective, strategic, and appropriate working relationships with internal and external stakeholders.

  • Managing approval flows in Workday (HR), Docusign, Ariba, PeopleSoft.

  • Monitor, assess and update systems and reports as required, including people, technology, and compliance related activities.

  • Provide assistance and support in managing IT support requests.

  • Support EGM in creating and fostering diverse, motivated, and engaged teams.
     

We are interested in hearing from people who have:

  • Previous experience supporting an EGM or equivalent (banking industry preferred).

  • Demonstrable degree of initiative to be able to undertake/complete work with limited supervision/direction.

  • Demonstrable ability in managing and balancing priorities, sometimes when they are in conflict.

  • Excellent interpersonal skills, including well-developed written and verbal communication skills.

  • Self-motivated individual, who displays a pro-active style, has exceptional attention to detail and an inherent desire to provide excellent customer service.

  • Highly effective organisational and time management skills.

  • Experience supporting a large team.

  • Experience dealing with Board and Executive stakeholders.
