Provides administrative support for senior leadership, management staff, and department. Works independently within guidelines established by Management Staff. Seeks supervision as needed.
Essential Functions
Collect, record, and track purchase requisition data for department.
Track purchase orders and hours spent for contractors.
Prepare expense reports and monthly spending reports as required.
Correlate purchase requisitions, purchase orders and invoices to provide data for cash flow analysis.
Maintain department office supplies inventory and general environment of the office.
Coordinate travel arrangements as requested, anticipating upcoming needs
Schedule meetings, conference rooms, and meals, as required
Administrative duties such as filing, copying, answering/screening calls, mail distribution.
Prepare correspondence to internal/external parties.
Word processing, filing, simple outside correspondence and information retrieval for staff.
Responsible for partial calendar management.
Special projects as requested or sought for by administration and other departments as needed.
Required/Preferred Education and Experience
High School Diploma preferred
5+ years' experience as executive secretary, administrative assistant or equivalent required
Knowledge, Skills and Abilities
Strong knowledge of MS Office (i.e., Word, Excel, Outlook, PowerPoint.) Proficient in creating basic PowerPoint presentations and Excel spreadsheets
Excellent interpersonal and communication skills
Capable of performing bookkeeping in a simple accounting system
Excellent calendar management skills
Ability to work independently while interacting with and advising employees of all levels of the organization
Proofreading, attention to detail, and follow-through skills
Highly organized, flexible, and enjoys the administrative challenges of supporting a team of diverse people and programs
