Where We Need You:

We are seeking an Executive Assistant to join our Alexandria office. 

 
 

What You Can Expect:

The Protiviti Executive Assistant provides exceptional support across a wide variety of operational and administrative tasks required to maintain an efficient, organized, and effective office environment.  Key areas of responsibility include Executive Support, Office Support & Communication, and Marketing & Event Execution.

 
 

What You Will Do:

Executive Support

·       Answer and screen incoming calls, and make outgoing calls on behalf of executives

·       Greet visitors, sign them in/out, and assist them, as needed

·       Support executives and the other members of the management team in their workload by producing & proofreading reports, presentations, and/or proposals

·       Manage Executive Outlook & Salesforce details

·       Take initiative to anticipate the needs of your executives on a daily basis

·       Prepare and manage Time & Expense reports on behalf of executives

·       Arrange travel for executives, including flights, hotels, and transportation

·       Handle any printing/copying/faxing, binding, and mail

·       Partner with regional team to provide back-up support to executives

·       Support and model excellent service by exhibiting a positive attitude and enthusiasm toward the job and the company to both internal and external customers in all forms of communication

·       Work with Executive team business partners to schedule & manage client meetings

·       Invoicing for client projects as well as handling invoices for local office management

·       Power BI reporting for Executives

 

Office Support & Communication

·       Office Space – Welcome clients, recruits, and employees, while ensuring the office is neat and organized; All employees and visitors will need to sign in and out. Assist with security and crisis response

·       Recruiting – Assist with planning/organizing recruiting events held within the office and/or on campus; Assist with general printing, tracking, and reporting

·       Reporting and Correspondence – Assist in the response process for Request for Proposals; Support client project accounting/invoicing/new vendor setup; Upload materials to intranet site; Setup & manage client sites within internal systems; Initiate, draft, and edit/review/format documents. Provide competent proofreading skills while looking for ways to be creative with both client documents and internal communications

·       Interacting with & managing office building communications & operations

·       Coordinate & work closely with parent organization local office

·       Embody confidentiality with all levels within the organization and build trust within the market to evaluate what makes sense to elevate and to whom

·       Work with & support the OML with office culture; be the market culture champion

 

Marketing & Event Execution

·       Coordinate with local and regional marketing teams to prepare marketing materials and assist/execute on-site event

·       Manage, Plan, & Execute all Quarterly Town Hall meetings.

·       Schedule conference rooms and coordinate audio visual and/or catering needs

·       Room arrangement for offsite meeting/events, as needed

·       Manage Salesforce updates and reporting for executives

·       Coordinate with offshore resources to create national invites, presentations, & other client facing documents

·       Work with various internal committees on all office/market-wide events that include employee/alumni/holiday/seasonal celebrations both in & outside the office

 

EA Service Center

·       Handling ad hoc MD support work being submitted by Executive Assistants across the EOA team, such as:

·       Processing time and expense

·       Calendar management

·       Travel booking

·       Coordinating large meetings

·       Salesforce data entry

·       Contract Proofreading and editing

·       DocuSign management

 

Other Regional/National Items

·       Support Human Resources with local office needs

·       Manage confidential meeting coordination

·       Tracking & reporting for national initiatives

·       Coordinate with other offices, as necessary, to provide additional support to the region

·       Participate in ongoing training regarding technology upgrades and new systems applicable to the position.

Your Educational and Professional Qualifications:

·       2+ years of professional experience, required

·       Bachelor’s degree, preferred

·       Advanced skills in Microsoft applications (Word, Excel, PowerPoint, Outlook)

Starting salary is based on a full-time equivalent schedule. Placement in the range is dependent upon experience, skills and geographic work location. Below is the salary range for this job.

$52,000.00 - $80,000.00

Our annual bonus plan provides eligible employees additional cash and/or discretionary stock compensation opportunities. Below is the bonus target opportunity for this job.

We offer eligible employees a company 401(k) savings and investment plan with an employer match of 50% on the first 6% of your contributions. We provide Choice Time Off (CTO) for vacation, personal needs, and sick time. The amount of (CTO) varies based on years of service. New hires receive up to 20 days of CTO per calendar year. Protiviti also recognizes up to 11 paid holidays each calendar year.
