nVent is seeking a proactive and service-driven Office Manager to oversee operations at our Warsaw office and support workplace initiatives across the EMEA region.

This individual contributor role sits at the intersection of operational leadership and regional collaboration, ensuring that the Warsaw site exemplifies nVent's commitment to workplace excellence, innovation, and cultural integrity.

This role will serve as the primary facilities expert for Warsaw, representing workplace services and engaging with cross-functional global partners to deliver an elevated employee experience. This role offers the opportunity to shape the workspace in one of nVent’s key growth hubs while contributing to strategic projects spanning Europe.

Key Responsibilities:

  • Lead the daily operations of nVent’s Warsaw site, ensuring all workplace services and maintenance functions run smoothly

  • Manage relationships with building management, landlords, and service vendors to ensure high-quality facility support

  • Space and Infrastructure Management: Planning and managing office layouts, departmental moves, refurbishments, renovations, and construction projects to optimize space usage and operational efficiency

  • Collaborate on EMEA-wide facility projects, including vendor transitions, site activations, and implementation of new workplace tools

  • Serve as the on-site liaison for nVent’s workplace culture and standards, translating global frameworks into local execution

  • Monitor and manage safety, emergency preparedness, and physical security in collaboration with internal EHS teams

  • Track facility budgets, optimize spend, and identify areas for operational efficiency

  • Maintain and manage accurate occupancy data and space usage planning to support business growth

  • Support functional leaders in the onboarding process for the new employees

  • Promote sustainability, wellness, and accessibility standards throughout all office programs

  • Support hospitality and employee engagement programs, including events and workplace experience initiatives

  • Maintain inventory and coordinate lifecycle management for office furniture and workplace systems

  • Provide hands-on operational support and incident management as needed on-site

 

Required Skills and Qualifications

  • Bachelor’s degree in Business or Facilities Management, Master’s degree preferred

  • 5+ years of experience in facilities, workplace, operations, or hospitality - ideally in a multinational setting

  • Deep knowledge of vendor management, office operations, and service contracts

  • Strong problem-solving skills and the ability to prioritize effectively in a fast-paced environment

  • This position is site-based, requiring you to be in the office full-time. This position is not eligible for remote work.

  • Passion for delivering excellent service and creating exceptional employee experiences

  • Ability to build trust, communicate with diverse teams, and collaborate cross-functionally

  • Excellent communication skills both written and verbal

  • Fluent in English and Polish; another European language is a plus

  • Experience with space planning, compliance, and sustainability programs is a plus

  • Strong organizational and leadership skills to manage staff and contractors effectively

  • Knowledge of building systems, maintenance procedures, and safety regulations

  • Ability to plan and execute renovations or office reconfigurations

  • Familiarity with budget management and cost control

Pay Transparency

nVent’s pay scale is based on the expected range of base pay for this job and the employee’s work location. Employee pay within this range will be based on a combination of factors including knowledge, skills, abilities, experience, education, and performance.

Monthly Gross Compensation Range:

zł7.083,30 - zł14.700,00 Per Month

Depending on the position offered, employee may be eligible for other forms of compensation, such as annual or long-term incentives.
