Job Requirements

Responsibilities:

  • Receive and process customer orders, inquiries covering items or products ordered.
  • Serve as communication link between customers and commercial team to assure responsiveness.
  • Responsible for ensuring that the order has been entered correctly and that the customer has received acknowledgment with a realistic delivery date.
  • Provide standard pricing and quoting, product availability, and schedule information within established guidelines.
  • Manage Inventory
  • Schedule Customer Pickups
  • Invoice Orders in SAP
  • Request and process export and tax documents
  • AR Cycle Process including Collections and Payments
  • Office Coordination including paying utilities and purchasing supplies
  • Ensure monthly close items are provided to  3rd party accounting  firm  in accordance with monthly closing schedule
  • Review monthly VAT and Payroll filings prepared by 3rd party and submit for payment
  • Assist with annual compliance matters
  • Maintaining Supplier Contact Information for Vendors
  • Track order activity and alerts appropriate stakeholders of any potential delivery problems.
  • Partner with Logistics to expedite delivery of selected orders.
  • Maintain a high level of customer service as reflected by a low number of customer complaints.
  • Work closely with Production Control, Purchasing, and Shipping to ensure our customers’ needs are being met.

Qualifications and Experience:

  • Fluency in English and Spanish, both written and verbal, required.
  • Associate's or Bachelor's degree in relevant field  (Accounting, Business, etc) required.
  • A minimum of 2-5 years of relevant experience in an office setting is required.
  • Manufacturing company experience preferred.
  • Preferred working knowledge of US and Mexico trade compliance including import and export compliance, ITAR, USMCA , Other free trade agreements, Harmonized tariff rules
  • Proficiency in Microsoft Word and Excel required, knowledge of SAP preferred.
  • Must have excellent communication skills and strong detail orientation.
  • Capable of handling multiple priorities and adapting to change with ease.
  • Willing to take on additional tasks and work effectively on a team.
