Role Summary:

We are seeking an experienced and detail-oriented Operations Coordinator to manage and support the daily operations of our growing company. In this role, you will be responsible for supporting a diverse employee population by ensuring the office is running smoothly and efficiently. You will also play a key role in supporting HR and recruiting efforts, as well as implementing local-company wide programs,  coordinating company events and managing logistics for internal and external stakeholders. The ideal candidate is highly organized, proactive, and able to juggle multiple responsibilities with ease. Success in this role requires superior internal and external customer service, attention to detail and ability to thrive in a fast-paced and constantly changing environment. 

Key Responsibilities:

  • Oversee and manage day-to-day office operations, ensuring efficiency and organization.

  • Coordinate logistical needs. 

  • Provide support to HR and Recruiting teams by assisting with onboarding new hires and staffing related activities.

  • Plan and coordinate social events, team building activities, holiday parties and culture events through-out the year.

  • Manage the local company lunch program.

  • Manage office supply inventory, keeping kitchens stocked and conference rooms organized.

  • Maintain and track office-related expenses, ensuring alignment with budget.

  • Negotiate with vendors to secure favorable pricing for supplies and services.

  • Ensure all office equipment is in proper working order; coordinate maintenance and repairs as necessary.

  • Greet and assist visitors, ensuring a professional and welcoming environment.

  • Proactively address and resolve operational issues that arise.

  • Maintain standards of strict confidentiality with respect to all employee matters.

Minimum Qualifications:

  • Proven experience in office management, operations, or administrative coordination.

  • Strong organizational skills and attention to detail.

  • Ability to manage multiple tasks and priorities in a fast-paced environment.

  • Excellent communication and interpersonal skills.

  • Proficiency in office software, Microsoft Office or Google Suite.

  • Capable and willing to run company errands.

  • Ability to collaborate in a team environment and pitch in as needed.

  • Ability to work with employees and managers at all levels of the organization.

  • Customer service-oriented approach to all requests.

Preferred Qualifications:

  • Bachelor’s degree

  • Familiarity with HR processes and recruiting logistics

  • Demonstrated excellence thriving in a fast-paced environment and embracing change

  • Strong analytical and problem-solving skills with attention to detail

  • Experience in an HR operations capacity

The salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only. Actual salary offers may vary based on (but not limited to) work experience, education and training, critical skills, and business considerations.
