What this job involves:

As a Business Support Specialist at JLL, you will provide critical executive-level administrative and operational support to our Global Account Director and Global Function Directors. This role is essential in driving organizational efficiency by managing complex scheduling, coordinating high-level meetings across global time zones, and ensuring seamless communication between leadership and stakeholders worldwide. You'll handle sensitive and confidential information with discretion while supporting strategic initiatives through comprehensive documentation, presentation development, and process coordination. We believe the most effective teams are built when everyone is empowered to thrive, and in this position, you'll enable our leadership to focus on strategic priorities by expertly managing their operational needs. Your work will span executive calendar management, travel coordination, expense processing, communication support, and cross-functional collaboration, making you an integral part of our global operations and client success.

What your day-to-day will look like:

  • Manage complex global diary coordination for senior executives, strategically scheduling leadership meetings and conference calls across multiple time zones

  • Coordinate and support high-level executive meetings by creating agendas, formatting presentations, and hosting calls with internal and external stakeholders

  • Organize comprehensive national and international travel arrangements, including detailed itineraries, accommodation, and transportation coordination

  • Process and manage expense claims for Global Directors with accuracy and attention to compliance requirements

  • Handle sensitive and confidential information with complete discretion and professionalism

  • Produce high-quality correspondence, reports, and presentation materials for executive meetings and client communications

  • Develop and maintain effective working relationships with clients and colleagues across global account teams and the broader JLL organization

  • Support the development of best practices and process improvements across the operations support team

Required qualifications:

  • Proven experience providing executive assistant support to senior directors or C-level executives in corporate, fast-paced environments

  • Demonstrated experience handling highly sensitive and confidential information with integrity and discretion

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Smartsheets, and Google Workspace

  • Exceptional written and verbal English communication skills with strong editing capabilities

  • Ability to anticipate executive needs and efficiently manage complex schedules and competing priorities

  • Strong analytical skills with the ability to gather, interpret, and present data effectively

  • Demonstrated personal accountability and ability to work effectively under pressure while maintaining attention to detail

Preferred qualifications:

  • Previous experience in communications or related roles with content development responsibilities

  • Knowledge of real estate or property management industry practices and terminology

  • Experience coordinating global operations across multiple time zones and cultural contexts

  • Strong project management skills with ability to support cross-functional initiatives

  • Experience with event planning and coordination for corporate functions

  • Additional language skills beneficial for global client and stakeholder communication
