Job Description:

The Provider Support Coordinator is responsible for managing various administrative tasks related to overall provider support including provider scheduling, on-call coordination, and licensure compliance. This role ensures all Astera & Solara providers remain compliant with certifications and licenses, coordinates provider scheduling, and serves as a liaison between the office and providers for a seamless operational workflow. This is a remote position in NJ.

General Responsibilities:

  • Flu Vaccine Compliance: Monitor and ensure provider compliance with vaccine and requirements. Utilize system of record to input tracking and ensure reminders are set 90 days (about 3 months) in advance of need for update vaccine.
  • Board Certification Tracking: Track provider Board certifications, including renewals, and send reminders for upcoming expiration dates. Utilize system of record to input tracking and ensure reminders are set 90 days (about 3 months) in advance of need for updated certification.
  • DEA, BLS, CDS Tracking & Reminders: Track and remind providers of their Basic Life Support (BLS) and Controlled Dangerous Substances (CDS) certification renewals. Utilize system of record to input tracking and ensure reminders are set 90 days (about 3 months) in advance of need for updated certification.
  • Student Shadowing Coordination: Collaborate with Office Managers and participating providers to coordinate student shadowing programs. Track timeline, Student Shadow participant, and host for historical data.
  • Hospital Rounding Scheduler: Coordinate hospital rounding schedules to ensure provider coverage during periods of provider time off (PTO).
  • QGenda Application Coordination: Coordinate and reconcile provider schedules within the QGenda application.
  • Workday Request Coordination: Coordinate and reconcile all Workday requests for providers.
  • DMERC Application Submission & Tracking: Manage submission and tracking of DMERC applications for all locations.
  • On-Call Scheduling Development: Develop and manage the on-call schedule for providers.
  • Provider Concierge Services: Provide concierge-level personal scheduling and planning services to providers as needed.
  • Provider Reminders for Coverage & PTO: Initiate reminders to providers regarding coverage needs and upcoming PTO.
  • Other: Performs other duties, as assigned.

Work Environment

  • This position will be remote within New Jersey.

Requirements:

  • Minimum of one year of experience working in a medical office required
  • High School diploma or equivalent
  • Strong organization and communication skills
  • Ability to work in a fast paced environment
  • Polished professional, well spoken, and team player with an upbeat personality
