Job Description

Postul PMO Pulsar (F/M) face part of DIR. FINANCE BUSINESS SERVICES, in the DIR. GLOBAL BUSINESS SERVICES ROMANIA.

Position located in Mioveni sau Bucharest.

Role:

The PMO is responsible for the operational management of the PULSAR project, a strategic project that is both business and digital. It focuses on optimizing the processes and methods for managing the Group's economic performance, as well as the digital transformation via SAP S/4HANA and Tagetik solutions. The PMO ensures the coordination of stakeholders, as well as the management of activities and deliverables, to ensure that project deadlines are met.

Context: This role is essential for a complex project requiring close cooperation between all the Group's departments (Finance, IT, etc.), consultants and more than 160 legal entities. The aim is to standardize the financial process of operations and to modernize IT tools.

Responsibilities:

1°) Ensure compliance with the project organization rules:

Operation in agile method with the project team.

Management of backlogs in JIRA. Coaching of Stream Leaders and project participants to work in agile mode: stand up meetings, rapid decision-making, accountability.

Creation of the list of deliverables and the timely progress of the production of deliverables.

Monitoring compliance with the RACI decided on the project. Reporting of anomalies for arbitration.

Monitoring of the maintenance of each project participant's personal data (contact details, availability) up to date

Deliverables: RACI up to date. Attendance plan up to date. Exhaustive list of deliverables.

2°) Animation of project planning:

Planning of committees, workshops, reviews in coordination with the Streams Leaders.

Updating the overall schedule, identification of critical paths, dependencies, deadlines.

Alert in case of jeopardy or slippage. Animation of remediation plan.

Deliverables: Overall project planning, Detailed planning of the current phase, Progress of deliverables in relation to the next Milestone or the pre-established schedule.

3°) Document management of the project:

Rigorous structuring and use of shared SharePoint and JIRA resources Explanations to users.

Animation of the rigorous implementation, necessary for a complex project with many stakeholders from different organizations.

Deliverables: logical and explicit urban planning of shared resources (tree structure, explanation of what should be stored where, no redundancy, version management with section for finalized deliverables)

4°) Progress monitoring of the 6 Streams of the project:

Animation of the WPR (Weekly Progress Reports) of the Streams Leaders each week.

Preparation and animation of the weekly progress review of the Streams each week.

Preparation of the arbitration review for the Design Authority meetings.

Preparation of the committees with 1st review pres. at least 2 working days before.

Deliverables: Weekly Progress Review, Steering Committee decks, Execution Committee decks (Sponsors Meeting and CFO/CIO Meeting).

5°) Monitoring of Risks, Incidents, Decisions, Actions (RAID or RIDA)

Structured list of Risks, qualified in terms of impact and probability, with remediation plans.

List of issues or incidents impacting the project, with analysis of the consequences and corrective action plan. List of decisions taken, explicit, and communicated in time to the parties concerned and impacted. Monitoring of critical actions for the project.

Deliverables: Up-to-date RIDA files, structured with unique identifiers and clear statuses.

6°) Monitoring of project communication

Project KPI monitoring. Preparation of the project dashboard (Pulsar Dashboard by Stream)

Coordination of the production and distribution of communication documents to different audiences

(Program management team, project team, Key Users, internal customers, group legal entities)

Deliverables: Project dashboard, communication documents to the Pulsar project charter.

7°) Carrying out the Pulsar project business value calculation

Modeling of planned savings with all streams including IS/IT.

Deliverables: up-to-date Business Value dashboard (planned/realized).
