The Training Coordinator supports training operations by managing exam registrations, licensing processes, and logistics coordination. The role ensures smooth execution of training programs, maintains accurate documentation, and liaises with candidates, trainers, and regulatory bodies to ensure compliance and timely delivery.

Position Responsibilities:

Exam Registration Management

  • Facilitate the registration process for exams, including coordinating with exam providers and candidates.
  • Maintain accurate records of exam registrations, payments, and schedules.
  • Communicate relevant information to candidates regarding exam procedures, deadlines, and requirements.

License Application Processing

  • Assist candidates in completing license application forms and gathering necessary documentation.
  • Liaise with licensing authorities to submit applications and follow up on status updates.
  • Track the progress of license applications and ensure timely completion.

Logistics Management

  • Coordinate logistics for training sessions, including venue booking, equipment setup, and catering arrangements.
  • Arrange transportation and accommodation for trainers and candidates as required.

Stock Management

  • Monitor inventory levels of training materials, supplies, and equipment.
  • Coordinate procurement of stock items as needed, ensuring adequate quantities are available for training sessions.
  • Maintain organized stock records and implement efficient stock control procedures to minimize wastage and ensure availability.

Communication and Support

  • Serve as a point of contact for training-related inquiries from candidates, trainers, and other stakeholders.
  • Provide support and guidance to candidates throughout the exam registration and license application processes.
  • Communicate updates, schedules, and important information to relevant parties in a clear and timely manner.

Compliance and Documentation

  • Ensure compliance with regulatory requirements and organizational policies related to training and licensing.
  • Maintain accurate documentation of training activities, exam results, license statuses and stock inventories.
  • Prepare reports on training metrics, exam outcomes, and license application progress as needed.
  • Ensure all logistical aspects are in place for successful execution of training programs.

Required Qualifications:

  • Bachelor's degree in a relevant field or equivalent experience.
  • Previous experience in training coordination, exam administration, or logistics management preferred.
  • Good organizational and multitasking abilities, with keen attention to detail.
  • Good communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
  • Good in using Microsoft Office applications and relevant software for database management.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Knowledge of regulatory requirements and procedures related to licensing processes is advantageous.
