As Senior Manager, Administration & Operations, you will have a considerable impact on employee experience and will be responsible for managing the day-to-day operations of the facilities function, ensuring flawless safety of people and assets. You will also be responsible for efficient & timely support to all employees & operations with an uptime of 99.9% This position is crucial in ensuring that the company runs smoothly and efficiently, with a focus on maximizing productivity and minimizing costs. The ideal candidate should have strong leadership, organizational, and communication skills, as well as a solid understanding of business operations.

What we’re looking for:

  • 10+ years of experience working in a similar role, with a proven track record of success in both administrative, operations and facility management.
  • Supervising the day-to-day operations of the administrative department. Developing, reviewing, and improving administrative systems, policies, and procedures.
  • Create a responsive environment within the department with the objective of being highly employee centric and driver to meet internal deadlines, quick TAT on 99% of pending issues.
  • Travel services: Effectively manage travel services and ensure smooth services to employees for all International / Domestic Travel requirements – Air/Train Tickets/Road Transportation, Visa, and Relocation Services etc.
  • Employee Transport Services: Manage efficient and optimal transport fleet for employee transportation (Home – Office- Home transfers).
  • Manage and deliver high quality special Events / Annual Events / Offshore arrangements and Logistics / Inhouse Trainings / Internal & External Conferences / Outings or other Important Events / Meetings.
  • Wellness Initiatives: Manage and Support Wellness Activities – Ergonomics, Medical Camps.
  • Employee Engagement: Support Employee activities committee and manage logistics for all internal / External employee / Sales teams’ events.
  • Employee experience: Controlled & qualified feedback via internal surveys. Additionally, feedback received from employees, clients, vendors, etc. should form a part of the review mechanism.
  • Visitor Logistics: Manage visitor logistics for overseas/Domestic Employees visiting offices / Client Visits or Govt inspections / Visits to office premises.
  • Forecast AOP and maintain expenses as per allocated Budgets. Forecast and Plan Capital expenditure for next year.
  • Process implementation: of systems & procedures on ground to ensure 99.9% uptime on all facilities related support across operations as per pre-determined budgets.
  • Cost efficiency: Execution of all support services within the specified budget, work towards a target saving annually (budget v/s actuals).
  • Projects Support: Post Project completion, setup, and mobilization of teams for efficiently run facilities in any new building/premise
  • Top notch Housekeeping Service Standards, Team performance, Inventory and Supply management.
  • Coach, mentor, train and develop facilities team to meet current/future business requirements
  • Excellent written and oral communication skills and ability to work in a distributed environment with agility to mould communication for different audiences.
  • Strong leadership & team management skills along with excellent organizational & multitasking abilities.
  • Knowledge or experience with Github co-pilot.
