Coordinator, Mailroom and Facilities

Department: Administrative Services

How We LEAD:

The Mailroom & Facilities Coordinator is responsible for supporting daily mailroom operations and providing general facilities coordination to ensure the efficient functioning of the workplace. This role reports directly to the Sr. Director, Administrative Services and serves as a key resource for office services, shipping and receiving, workplace logistics, and facilities support. The position requires a proactive, customer-service-oriented individual who can manage multiple priorities in a fast-paced environment.

How You'll CREATE:

Key Responsibilities – Mailroom Operations

  • Sort, distribute, and process incoming and outgoing mail and packages, including deliveries from centralized mailroom location.

  • Coordinate courier services, shipping requests, and package tracking using systems such as UPS WorldShip or similar platforms.

  • Research and resolve unidentified or misdirected mail and packages.

  • Maintain shipping supplies, postage inventory, and mailroom organization.

  • Coordinate scheduled pickups, deliveries, and archive/file storage requests.

  • Coordinate equipment return for offboarding employees

Key Responsibilities – Facilities & Office Support

  • Support day-to-day facilities operations including maintenance service requests, building issues (temperature control, lighting, repairs), freight coordination, engineering support.

  • Stock Pantries, clean and maintain coffee machines.

  • Maintain conference rooms, kitchens, and common areas to ensure spaces are clean, organized, and operational.

  • Assist with office moves, furniture requests, and general workplace logistics.

  • Coordinate IT and AV support for meetings and events as needed.

  • Order and maintain inventory of facilities and office supplies including boxes, packing materials, and general workplace items.

  • Maintain a visible facilities presence and respond to employee requests in a timely manner.

Additional Support

  • Assist with facilities and office services support at additional company locations, including Woodland Hills and Santa Monica offices, as business needs require.

  • Provide general administrative support such as copying, filing, and tracking service requests.

  • Perform other duties and special projects as assigned.

Qualifications

  • High School diploma or equivalent required.

  • Valid driver’s license with reliable transportation and adequate auto insurance.

  • Ability to travel occasionally between multiple office locations.

  • Experience with UPS WorldShip or similar shipping systems preferred.

  • Ability to lift and move packages and office materials up to 40 lbs.

  • Ability to push carts, move boxes, and perform physical tasks associated with mailroom and facilities operations.

  • Ability to stand and walk for extended periods throughout the workday.
