Job Summary :

Provides secretarial and clerical support for all Human Resources associates. Assists all HRH associates, internal and external applicants, volunteers, students and management personnel through prompt, courteous, and effective communication and timely completion of Human Resources and Volunteer Services functions.

Job Description

Essential Responsibilities:

•    Performs all support duties including typing, copying, filing, faxing, and answering the telephone.
•    Opens and distributes mail daily.
•    Coordinates flower and bereavement orders for associates and assures accuracy of invoice.
•    Maintains working knowledge of the computer system and software for office use.
•    Assists HR with projects as needed.
•    Maintains HR files including termination files
•    Scanning past term files into Workday
•    Assists with coordination of volunteer program including but not limited to: time logs, volunteer celebration assistance, greeting all volunteers, frequent volunteer check in
•    Order office supplies
•    Name changes in the system
•    Prepare new hire folders
•    Manage the HRH classifieds
•    File review audits
•    Shadowing requests
•    New Volunteer Orientation and training
•    Assisting with onboarding calls and reference checks as needed
•    Backup for onboarding checks
•    New hire orientation prep including printing job profiles, preparing new hire folders.   
•    Back up for new hire orientation
•    I9 verifications including the follow up when items are missing
•    Indiana New Hire Report 
•    Scheduling interviews as needed
•    Reference checks as needed
•    Reminding all candidates of their interviews
•    Reminding all new hires what to bring and where to report for orientation
•    Performs all support duties including typing, copying, filing, faxing, answering the telephone, and managing voicemail 
•    New hire orientation prep and check in - including printing job profiles, preparing new hire folders, taking new hire photos
•    (Coordination of Volunteer services) Send out eye glass cases(Paranesthesia & Hibbeln) /bonnets(Hibbeln)/stuffed animals(peds) monthly

 Education and Experience Required: 
1. Must have a high school diploma or equivalent, Associate’s degree in Business or HR is preferred.
2. A working knowledge of personal computers, Word, Excel and PowerPoint 
3. Previous health care experience preferred.
4. Previous experience in HR is preferred
