Job Description

The Executive Assistant (EA) to the CEO of Carat North America will provide high-level administrative, operational, and strategic support to the CEO. This role requires exceptional professionalism, discretion, organizational prowess, and the ability to operate in a fast paced, dynamic, and highly visible environment within a global media and advertising agency across a matrixed organization.

The EA will act as a strategic extension of the CEO – optimizing time, facilitating communication, shepherding priorities, anticipating operational needs, and helping ensure the CEO’s effectiveness across internal and external engagements.

Key Responsibilities and Accountabilities

Executive Support:

  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Manage a complex and dynamic calendar across multiple time zones; anticipate needs and proactively identify opportunities to optimize time and impact.
  • Ensure schedule is adhered to and respected but also have ability to quickly adapt to last minute changes in plans, schedules and itineraries; provide a bridge for smooth communication when changes occur.
  • Prioritize and handle a high volume of incoming requests, ensuring critical matters are addressed promptly.
  • Plan and manage extensive domestic and international travel, including visas, itineraries, accommodations, and contingency planning.
  • Draft, review, and edit correspondence, reports, presentations, and executive communications with discretion and precision.
  • Prepare the CEO for meetings — including agendas, briefings and follow-up actions.
  • Confidentially handles sensitive information, understands and makes decisions based on priorities.
  • Coordinates, participates and provides support with internal and external meetings.
  • Collaborates with IT for quick resolution of any technical difficulties.
  • Manage expense reporting, budgets, and vendor relationships with accuracy and confidentiality.
  • Represent the CEO with professionalism, diplomacy, and cultural sensitivity in all communications.
  • Act as local support on all administrative functions to Global CEO of Media (based in UK) when he is in the NYC office.

Strategic Coordination:

  • Coordinate strategic initiatives and track progress on key company priorities, ensuring deliverables are met.
  • Coordinate executive meetings, offsites, town halls, and large scale leadership/client events.
  • Coordinate with senior leadership to facilitate communication and alignment across regional and global teams.

  • Superior interpersonal and relationship-building skills with the ability to communicate effectively across a matrixed organization.
  • High emotional intelligence, discretion, and sound judgment.
  • Advanced proficiency with productivity tools (Microsoft 365, Teams, Zoom, Concur, etc.).
  • Ability to work across cultures and time zones with flexibility and resilience.
  • Strong problem-solving abilities and proactive anticipation of executive needs.
  • Demonstrated ability to manage confidential and sensitive information with integrity.
  • Adept at proofreading own and others’ work to eliminate errors.
  • Anticipate risks and issues, escalate when needed.

Education & Experience:

  • Bachelor’s degree
  • Minimum 8+ years of executive support experience, with at least 5 years supporting C-suite executives (preferably a CEO or Global Leader).
  • Experience working for a global or multinational organization, preferably in media/advertising or similar field.

Employees who live within a commutable distance of one of our hub offices, currently located in Chicago, metro Detroit, Los Angeles, and New York City, are required and expected to work from the office three days per week (two days per week for employees based in Los Angeles). Dentsu may designate other Hub offices at any time. Those who live outside a commutable range may be designated as remote, depending on the role and business needs. Regardless of your work location, we expect our employees to be flexible to meet the needs of our Company and clients, which may include attendance in an office.

The annual salary range for this position is $82,800-$110,400. Placement within the salary range is based on a variety of factors, including relevant experience, knowledge, skills, and other factors permitted by law.
