Job Description Summary:

The Events Coordinator serves as a vital link between the Events Team, clients, vendors, and venues, ensuring effective communication and seamless coordination at every stage of the event process. This role is responsible for managing inquiries, assisting with planning and operational tasks, and supporting the flawless execution of events in alignment with company standards and client expectations.

Primary Responsibilities

  • Support the Events Team in the planning and execution of events.

  • Respond to website and email event inquiries promptly.

  • Assess availability and manage event bookings.

  • Communicate with clients to understand event needs and relay information to the Events Team, attractions, venues, and vendors.

  • Maintain and update event data in the Event Management System.

  • Assist with event-related financial tasks such as billing, invoicing, and payment tracking.

  • Coordinate with caterers, beverage providers, and other vendors to ensure seamless service delivery.

  • Assist in developing and managing event timelines to meet all deadlines.

  • Ensure compliance with company policies, industry standards, and regulations.

  • Provide on-site support during events when needed (including evenings and weekends).

  • • Cross-train to support the Groups Coordinator and Tours & Experiences Coordinator functions as needed.

Education / Qualifications

  • High School diploma or GED equivalent required

  • Currently in school for or has obtained College degree in Hospitality / Event management, preferred

  • 1–2 years of experience in event coordination or planning (internships or volunteer experience considered).

  • Strong organizational skills and exceptional attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to manage multiple projects in a fast-paced environment.

  • Flexible and adaptable to changing priorities.

  • Able to work independently and as part of a collaborative team.

$36,746 - $41,995
