Job Summary

As an Event Services Coordinator with JLL, you will act as the liaison between requesters and the Event Services team, overseeing set-ups for meetings and events. The Event Coordinator will assist in directing and monitoring the Event Setup team, Facilities, Catering, Security, and the Audio/Visual Technicians.

Responsibilities

  • Manage customer requests for services to ensure timely response and exceptional customer experience

  • Facilitate communications for events and customers

  • Oversee set-up personnel for performance and cost effectiveness

  • Utilize online ticketing/work order software to ensure carry out all set up request/customer expectations are completed prior to deadlines; Complete service tickets efficiently

  • Set up/dismantling of meeting and event spaces

  • Ensure meeting rooms and equipment are maintained in a clean and efficient manner

  • Assist Employee Services Manager with administrative duties including, but not limited to: daily/weekly project sheets, customer service, email correspondence etc.

  • Other operational related duties as required

  • Support customers and vendors during onsite meetings and events

  • Contact and direct outside service providers as needed to meet customer requirements

  • Schedule conference rooms

  • Coordinate conferences and events using customer preferred scheduler

  • Oversee possible office amenities (Pop-Up Shop, local vendors onsite for the day, etc.)

Qualifications

  • Bachelor's degree from an accredited institution or four or more years of experience in lieu of degree

  • Two or more years of General Events experience

  • Knowledge of Microsoft Office; knowledge of facilities management software a plus

  • Knowledge of principles and practices of work safety and building codes (BOMA Standards)

  • Excellent written and verbal communications skills, including accurate grammar and business correspondence

  • Ability to strategically multitask, prioritize, and complete projects with changing deadlines and high levels of urgency

  • Perform miscellaneous duties to support the Employee Services Manager and the larger client Workplace Solutions Team as needed

  • Physically capable of transporting awkward and heavy materials such as staging, chairs, tables, etc. from storage areas to meeting rooms weighing less than or equal to 50 pounds without assistance and objects weighing more than 75 pounds with assistance

  • Able to work irregular hours, some nights and weekends

  • Must be able to stand/walk long periods of time

  • Organized, self-motivated, dependable, and detail-oriented
