PURPOSE AND SCOPE:

Leads the project management team for assigned department/group to provide support on multiple projects and facilitates activities of interdepartmental and/or external relationships to ensure that predetermined specifications and timelines are met. Collaborates with cross functional project team members, resources, and stakeholders throughout the lifecycle of the project, communicating progress and/or risk involved in a timely fashion. Provides appropriate project management processes, methods, techniques and tools and can elaborate and implement these according to project requirements. This includes acquiring resources and coordinating efforts of the team members and third-party contractors or consultants to deliver projects.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Supports and implements mid to long- term strategies within the assigned department/group.
  • Utilizes change management principles in project execution.
  • Develops and maintains effective relationships through effective and timely communication.
  • Takes initiative and action to respond, resolve and follow up regarding service issues with all internal and external clients and vendor partners in a timely manner.
  • Builds and maintains tools and capabilities necessary for successful support of projects.
  • Assists with developing and maintaining project plans.
  • Tracks the status of all projects and reports to leadership.
  • Ensures project management principles are applied correctly.
  • Ensures project status is reported properly and project risk are identified timely.
  • Ensures on-time delivery of specific products.
  • Provides project management guidance and governance by monitoring project activities, ensuring appropriate escalation and reporting of timeline status, risk assessment and budget variance (as needed).
  • Manages and assesses the impact of changes to project scope and requirements.
  • Responsible for project schedule as reflected in Project Plan, escalating to appropriate management when there are delays in items, activities and deliverables as stated in the project plan.
  • Participates and/or leads quality team efforts to continuously improve processes and methodologies resulting in improved efficiency and project delivery in terms of time, budget and customer satisfaction.
  • Manages issue tracking and resolution for projects. Ensures appropriate resolution and mitigation of issues.
  • Manages and escalates any dissatisfaction of internal and external clients and vendor partners.
  • Tracks the project plan and escalates any blocking issues, risk, budget issues or delays in making dates on items specified in the project plan.
  • Anticipates roadblocks in project management and delivers effective solutions
  • Establishes, maintains and communicates best practices around project management technique.
  • Maintains and communicates new processes, procedures and standards necessary for managing projects.
  • Manages project resource scheduling and participates in overall resource scheduling activities indicating which project team member/resource is responsible for working on a particular task.
  • Facilitates cross-functional project team meetings and discussions ensuring appropriate participation, team focus on objectives and documentation and communication of agreements and conclusions.
  • Establishes communication plans for projects and ensures adherence to those plans ensuring and maintaining appropriate communication to all project constituents and stakeholders as necessary.
  • Prepares weekly project status reports.
  • Provide technical guidance.
  • Other duties as assigned.

SUPERVISION:

  • Responsible for the direct supervision of various levels of Project Management staff.

EDUCATION:

  • Bachelor’s Degree required; Advanced Degree preferred
  • Certified Project Management Professional (PMP) is desirable

EXPERIENCE AND REQUIRED SKILLS:           

  • 6 – 8 years’ related experience.
  • 3+ years’ supervisory or project/program management experience preferred.
  • Project Management Professional (PMP) certification a requirement
  • Change Management Certification a requirement
  • Health Care and/or Medical Device experience a plus
  • Knowledge of Project Management methodologies (e.g., Lean, Six-Sigma, SCRUM)
  • Experience with organizational and planning skill
  • Proficient in MS Office Suite including MS Project and Project Management Software, SmartSheet.
  • A high attention to detail and proven ability to manage multiple, competing priorities simultaneously.
  • Ability to work effectively in a fast-paced global team environment with other technical teams.
  • Ability to take the initiative and drive for results.
  • Excellent presentation, expectation management and training skills; consistently meets specific needs of various client groups, project teams, and target audiences.
  • Experience in identifying and aligning appropriate functional and technical skills and resources necessary to meet strategic goals and business objectives, within prescribed timelines and budget parameters.
  • Ability to read, analyze and interpret general business periodicals, journals, technical procedure or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to conduct meetings to communicate project status to management and/or project stakeholders.
  • Strong analytical and problem-solving skills to solve complex problems, generate ideas, and develop creative solutions.
